Bookings are now available in the 'Job' section of VGM. This article will give you an overview of the new bookings grid.

Bookings Grid

The bookings grid displays a summary of current bookings. You can filter results using the date range selector and search bar to find specific bookings.

Date Range Filtering

Similar to other main grids in VGM, a date selector is located at the top left.

This allows you to select a pre-set range or specify a custom date range. The grid also supports sorting by various fields, including date, to refine search results.

Note: The search bar works in conjunction with the current date range selection. It will not find results outside of the active date filter. To search all bookings, return to the 'All bookings' selection.

Booking Details

To view or edit an existing booking, double-click on the booking in the grid or use the 'View' button in the toolbar. This allows you to make changes to the booking and view additional information about the customer and vehicle associated with the booking such as vehicle details and MOT & Tax status.

Booking Form

The header section of the booking window contains a form displaying booking details. The only aspect that cannot be changed is the booking date and time; if these are incorrect, the booking would need to be deleted and re-created.

Net Price

Changes to the booking form will automatically recalculate the net price based on the selected slot type, customer, and vehicle. Clearing these fields will not trigger a recalculation; only setting a valid value will do so.

To override the calculated price, you can manually enter a value in the net price field. To revert to the automatically calculated price, use the 'Recalculate' button.

Referrers

A dropdown menu allows you to select the referrer for the booking, including a 'None' option.

Mileage

Updating the mileage field is optional. If you do update it and click save, you will be prompted whether you would like to update the vehicle record with the new mileage. Confirming this will update the vehicle record, which will be reflected in the vehicle sections of the various overview tabs below the form.

Booking Actions

Similar to other documents in VGM, a set of shared actions is available from the grid toolbar or the context menu (three dots next to the save button) within the booking details window. Not all options are available in both places.

Converting Bookings

You can convert a booking to a jobsheet or a sales invoice. After conversion, the relevant 'open [document type]' button will become enabled, allowing you to open the document. This can be found on both in the toolbar on the Bookings grid (1) and in a booking details window by clicking the 3 dots next to the save button in the top right. (2)
