Chat Agent Knowledge Base upload limits and troubleshooting

What to do when PDF, DOCX, or URL uploads fail or stay in processing.

Supported files

Chat Agent Knowledge Base supports PDF and DOCX files. URLs can also be added from the URL upload option.

File size limits

The current upload flow limits individual files to 4 MB. For multi-file uploads, the total upload size is limited to about 4.5 MB.

If an upload fails because of size, upload fewer files at once, split a large document, or compress/export a smaller PDF.

Processing status

Uploaded files are added with a processing status while the system extracts text and creates searchable chunks. The page checks status in the background for several minutes.

If a document still shows as processing after a while, refresh the page and check again.

Failed documents

If processing fails:

  1. Check that the file is a real PDF or DOCX, not a scanned image-only document.

  2. Check the file is under the size limit.

  3. Try uploading the file by itself.

  4. If it still fails, delete the failed document and contact support.

URL upload problems

Some websites block automated access, require login, or load important text dynamically. If a URL fails or produces poor answers, upload a PDF or DOCX version of the content instead.

Organisation knowledge permissions

If you can view organisation knowledge but cannot upload or delete documents, your role may not have organisation knowledge management permission. Ask an owner/admin to upload the document or update your permissions.

How to get Chat to use the document

After uploading, mention the document title, tag, or knowledge base in your prompt. For example: Use the uploaded ACL rehab protocol or Answer using our organisation knowledge base.
