Workflows are steps you want your client to go through: sign documents, fill out questionnaires, get ID checked etc. They help you automate registration processes and are embedded in client portals. Workflows will save you lots of time, will speed up transactions and improve client experience.

Portal workflows are embedded in client portals and therefore require your clients to login first. Such workflows are ideal for secure registration tasks, upselling sevices and periodic data updates or contract renewal. If you want to use workflows to sell to prospects, go here.

Pre-requisites: At least one existing Portal Group and a portal with a client user who accepted an invitation to that portal.

Here we show how to create a simple workflow of asking a client to sign 2 documents.

Go to a portal of your choice, select Workflows and click the '+' button

2. Create your workflow using "Ask to view and approve" and "request a signature" widgets.

  • note that to add Forms you need to define them first in Form Templates

  • to use ID verification step you need to be a subscriber

  • to user Services and payment - define your Services and enable Stripe

2a. Select "Request a signature"

2b. Upload a document and click 'save'

2c. Review the esignature settings and click 'next'

2d. Drag and drop your signature field and click "save template"

2e. Close the widget

You will see your configured widget on the list of worklfow elements:

2e. Repeat for the 2nd or 3rd document, renaming the elements as you want them to be seen by the client

3. Click Complete and Send, select your client from the dropdown menu, fill out the message box and click 'Send'

4. Your client will receive an invitation to start the workflow.

5. Clicking on "Start the workflow" button will lead to the Portal login page. After logging into the portal your client will be presented with the workflow:

This comletes this simple overview. There is much more you can explore:

  • adding different types of actions (forms, ID verification, services, video, pausing the workflow and resuming it etc)

  • adding bespoke events to each workflow step that trigger a status change or an email

  • exporting the entire workflow as a PDF document
