Setting up your services and prices is an important step on your journey to streamline your sales operation. Once set up, Services will become the central repository of knowldge about what you sell, for how much, and in what bundles.
Where to find it: click "Proposals" in the top menu.
The left-hand menu consists of:
Services - a list of your services with detailed descriptions and prices
Invoices
Currencies - a list of currencies you do business in
Taxation - taxes you would like to add to your services
Service Packages - your most popular collections of services
We recommend setting things up in this order: currencies first, then taxes, then services, so each service can use them.
1. Set your currencies
Go to Currencies.
Click the "+" button and add each currency you work in.
Optionally, drag a currency by its handle to change the order. The first currency is your default.
Click "Save".
To remove a currency, click the red "x" next to it, then "Save".
2. Set your taxes
Go to Taxation.
Click the "+" button next to "Taxes".
Fill in Tax name (for example "VAT") and Tax rate (%).
Choose whether the tax is included in the price under "Is tax included in price?". This is the most important choice: "Yes" means the prices you enter already contain the tax; "No" means we add it on top.
Click "Save".
Repeat for each rate you need, for example a standard and a reduced rate. To remove a tax, click the bin icon in its row.
Some companies will have more than one tax as some services they sell may require a different tax rate or be tax except.
3. Add your services
Services are grouped into sections (for example "Accounting" or "Payroll"), so your price list stays easy to scan. You can add services one by one, or import them all from a CSV file.
3a. Add services one by one
Go to Services.
If you don't have a section yet, scroll to the bottom and click "Add a new section", then name it.
Under the section, click "+ Add a new service".
Fill in:
Service name
Unit price, one per currency you set up in step 1
Billing frequency: "One-off", "Hourly", "Monthly", "Quarterly", "Semiannual" or "Annual"
Tax: one of your taxes, or "None"
Optionally, add a Unit label (for example "hours" or "users") and a Service description. The description is visible to your clients.
Click "OK".
Your service appears in its section with its price, tax and total. Click the pencil icon next to a section name to rename it, or the bin icon in a service's row to delete it.
3b. Import services from a CSV file
Go to Services.
Click the "..." next to "Services" and choose "Import from CSV".
Drag and drop your CSV file into the box, or click it to choose the file.
Match your columns to our fields, then complete the import.
Your file needs a name and a section column. If a section doesn't exist yet, we create it for you.
Tip: to back up or bulk-edit your price list, click "..." and choose "Export to CSV".
Step 4 (optional) - bundle services into packages:
Packages are sets of services you often sell together, for example "Starter bookkeeping". Add a package to a quote in one click instead of picking each service.
This optional step allows you to bundle individual services into packages.
First create a list of packages you want to offer.
Once defined you can quickly add individual services to each package.
Once done, you will be able to import a package quickly when configuring a quote to save time.
Alright, you are now ready to send a quote or a proposal out.
A note to users with legacy Proposals module:
You will not see SalesFlows module until you uninstall Proposals. Please save any data that you may want to retain first as uninstalling the module cannot be undone. To uninstall Proposals go to Proposals and select 'uninstall' from the left hand side menu.
