The employee spreadsheet import process with myHSA is a convenient way to have our team assist with a bulk upload (10+) of employee accounts. To get started, follow these steps:

1. Accessing the Import Spreadsheet

To begin, download the required import spreadsheet:

  • Go to your Resources Tab

  • Click on Enrolment - Employee Import Spreadsheet (10+ ees) - You can also directly access it via this Download Link).

2. Formatting and Including Necessary Employee Data

Ensure that your spreadsheet contains all mandatory information and is correctly formatted. The following details must be included:

  • Class Name: Assign the correct plan names to employees in the "Class Name" column. For example, "Employees with 5+ years of service." This ensures we attach employees to the correct class that's been set up on the client's profile.

  • Employee Name: First and last name.

  • Employee Date of Birth: Format as MM/DD/YYYY.

  • Gender: Female, Male, prefer not to say.

  • Province: The employee's province of residence

  • Employee Email Address

  • Current Year Amount: The amount to be loaded into the employee's current balance (ie the balance available for current benefit year claims).

  • Carry Over: Carryover balance to be loaded in, if applicable.

  • Total Balance: Current year amount + Carryover balance.

  • Effective Date: The day the employee is effective on the plan (ie claim start date). Format as MM/DD/YYYY.

Note: the company's account, profile, and plan(s) must be set up before our team can proceed with loading in the employee import. For a guide on setting up your Client's account, click here: How do I set up a Client?

3. Timing and Submission Guidelines

Please email the completed spreadsheet to our Support Team at support@getmyhsa.com.

Please include any additional details in the email to our Support Team, including:

  • For myFlexplans: what date should the allocation window be opened?

  • Should the Welcome Emails be scheduled to go out to employees on a specific date?

Our turnaround time on employee imports is 1 to 2 business days. Once completed, we will confirm the details of the import back to you via email!
