Auto-Fill Tracking Attributes During Count

How to enable and use auto-fill tracking attributes during count processes

Overview

When counting lot, expiry date, production date tracked products, Logiwa IO can automatically pre-fill tracking attributes on the mobile count screens. When all inventory of a scanned product at a location or LP shares exactly one unique combination of tracked attributes, the system fills them in for you. Counters verify the values visually and proceed directly to quantity entry, eliminating the need to look up or re-type lot information on every scan. If a value is wrong, counters can correct it inline before confirming.


When to Use It

Enable this feature when:

  • Your warehouse counts lot-tracked, expiry-tracked, or production-date-tracked products regularly

  • Counters are spending significant time manually entering lot details that are already in the system


Prerequisites

Before enabling this feature:

  • Products must have attribute tracking (Lot/Batch, Expiry Date, or Production Date) enabled at product setup

  • The Warehouse Admin must have access to Configuration → Job Types

  • The feature is off by default — no existing count workflows are affected until explicitly enabled


Configuration

A Warehouse Admin enables the feature once per Job Type. It applies to all count jobs created with that Job Type.

  1. Navigate to Configuration → Job Types

  2. Open an existing Count Job Type or create a new one

  3. Go to the Settings tab

  4. Set Attribute Auto-Fill to Yes

  5. Click Save

Once enabled, the mobile count screen automatically pre-fills tracking attributes for counters assigned to jobs of this type — whenever the uniqueness condition is met at the scanned location or LP.


How It Works on Mobile

Regular Count Processes (Location Count, SKU Count, Instant Count)

After scanning a location and a product, Logiwa IO checks whether all inventory of that SKU at the scanned entity shares exactly one combination of tracked attributes.

When attributes are unique: The tracked attribute values appear as inline rows on the product card. The counter verifies visually and proceeds directly to quantity entry. No extra taps required on the happy path.


If a mismatch is found: The counter taps the pencil icon next to the attribute. An Edit Attributes sheet opens pre-filled with all tracked values. The counter corrects the wrong value and taps Save. A success confirmation appears and the corrected attribute is highlighted on the product card. The corrected value is saved to the count line and reviewed by a supervisor before inventory is updated.


When attributes are not unique: The standard attribute entry sheet appears as today. The counter enters all values manually.

One by One Count

One by One Count works differently — the counter scans units individually with no quantity step. Each scan counts one unit. After each product scan, a Confirm Attributes sheet appears automatically.

When attributes are unique: The sheet appears pre-filled. The counter verifies and taps Save. The Scanning Counter increments by one.

When attributes are not unique: The sheet appears with empty fields. The counter enters values manually and taps Save.

Locking attributes for repeated scans: If all remaining units of the same product share the same attributes, the counter can check the box at the bottom of the sheet — "Use these attributes for this product until another product is scanned in this job." After saving, the Attributes in Use for This Product section appears on the scanning screen showing the locked values. Every subsequent scan of the same product applies those values automatically without showing the sheet again. When a different product is scanned, the lock resets automatically and the Confirm Attributes sheet appears again for the new product.

To stop using locked attributes: Tap Ask for Attributes Again — either from the link inside the Attributes in Use for This Product section or from the Other Actions menu (···). The Confirm Attributes sheet reappears on the next scan.

Common Questions & Edge Cases

What does "unique" mean exactly? Logiwa IO checks whether all inventory of the counted product at the scanned location or LP shares exactly one combination of tracked attributes. If any single tracked attribute — Lot/Batch, Expiry Date, or Production Date — differs between two or more inventory lines at that location, the combination is considered non-unique and auto-fill does not trigger. The counter enters all values manually as today.

Does pack type affect the uniqueness check? No. Pack Type is not part of the uniqueness evaluation. Uniqueness is determined based on the tracked attributes only (Lot/Batch, Expiry Date, and Production Date) across all inventory in the location or LP. As a result, it is considered unique only when there is a single combination of these attributes present, regardless of Pack Type. For example, if a location contains Item A as a Case with Lot A and Item A as a Unit with Lot B, the location is not considered unique because two different Lot values exist, even though each Pack Type individually has only one record. Conversely, if both the Case and Unit inventory have Lot A, the location is considered unique because there is only one attribute combination present. Pack Type is displayed separately on the product card.

What if a product only tracks Lot/Batch and not Expiry Date? Only attributes actively tracked at product setup are evaluated and shown. If Expiry Date is not tracked for a product, it is excluded from the uniqueness check entirely and does not appear on the count screen. A product tracking only Lot/Batch shows only the Lot Num.

What happens if the counter corrects a pre-filled value? The corrected value is saved to the count line. If the corrected lot differs from the system value, a new count line is created for the corrected lot. The supervisor sees both the original and the corrected line in the Count Details screen and can decide to recount, approve, or update inventory accordingly. If the counter does not check the locking checkbox after correcting a value, the next scan of the same product will show the original system values again — not the corrected ones.

Does this change the supervisor approval workflow? No. Counter-edited attribute values follow the same supervisor review process as quantity variances. They are saved to the count line first and applied to inventory only after supervisor approval.

What if the counter locks attributes in One by One mode and a unit has a different lot? If the counter has locked attributes and picks up a unit with different values, they should tap Ask for Attributes Again before scanning that unit. This releases the lock and prompts attribute confirmation on the next scan. Note that Ask for Attributes Again only affects the next scan forward — it does not correct units already counted.
