How to bulk add inventory with an Excel file.

Bulk inventory import is possible from the Inventory by Location section of the Inventory screen. Inventory import enables you add stock to your existing inventory or create inventory when a product has no stock. You'll need to have products to add inventory to, so make sure to create them first.


Import Inventory via Excel File Steps

  • From the Inventory section, select the Inventory by Location tab.

  • The Inventory by Location page will display with the Import button on the right hand side of the screen. Click this button to proceed.

  • You are now on the Import Inventory page. You can download the Excel template file via the Download button.

Once it's downloaded, open the template. You will see some sample data to give you an idea of how to fill out the file. Please make sure to delete this data before uploading it.

Template Guidelines

  1. Fields marked in green are required and cannot be empty.

  2. Every Excel column should have a header. If a column has no header, data will not be imported.

  3. SKU is the key field for a product and should be unique for every product line.

  4. Available Quantity refers the stock quantity on hand. This Field accepts only integer numbers over 1. If you type a decimal or 0 you will receive an error.

  5. If you add an extra column with a header to your file, you should match it with a Logiwa column later.

  6. If you have a file to track products that you always use, you can also use your own file. You will be able to match the headers on your file with a Logiwa field later.

  7. Additional information can be found in the Import Rules and Field Description sections of the Excel template.

Once you've filled in your template, you can click the icon in the middle of the screen to choose the file from your device or drag and drop your file into this section.

After you select the file, you should see it listed under file icon. Click the Upload button to continue.

After the file uploads your products, another screen will load with the information you've imported. This is an opportunity to make sure your data matches with the fields in Logiwa.

If the column headers come from Logiwa's template, they will be automatically matched. You'll see a checkmark next to these sections.

If you are using so special column headers, these will not automatically match with Logiwa fields. You will see these kind of columns marked with an X.

An unmatched field can match with a Logiwa field that is not already in use. Fields that are unavailable will be grayed out. Click the Choose Field area and select the field that you want to use.

If every option is grayed out, it means that you've already linked every Logiwa field.

When you are sure you have linked all fields, click the Import button to start the upload process.

You will be directed to the upload screen and a message will show that your import is completed.

You can now check the status of your import. The bottom of the screen will display the history of your imports with the following information:

  • Status: This will say if your import was Successful or Failed

  • Row Count: Counts how many rows were in your import

  • Success Count: Count of successfully imported rows

  • Error count: Count of rows that were not imported due to errors

  • Uploaded By: User that uploaded the data

  • Upload Date: The date and time the file was uploaded

You can also click the Actions menu to access links to Details or Download Original File.

Selecting Details will take you to a sidebar that summarizes the upload with more information. If you had errors, this will give more information on the issue.
