Receiving, Production, and Expiration Date Tracking

How and where expiration dates, production dates, and receiving dates are tracked in our system.

Expiration dates, production dates, and receiving dates play vital roles in inventory management, particularly in ensuring the freshness and quality of goods while organizing stock efficiently. This article will cover how/where these various dates are tracked in our system. Additionally, see the Exp. Date/Prod. Date on Mobile, Return, and Inventory Report screens to see how the Production Date Tracking, Expiry Date Tracking, and Use Product Date toggles work together.

Definitions

By diligently monitoring and managing expiration dates, production dates, and receiving dates, businesses can effectively control inventory levels, minimize waste, and uphold product quality standards.

For clarity, each type of date is defined below:

  • Expiration/Expiry Dates: Dates specified by manufacturers or suppliers indicating the end of the period during which a product is expected to remain safe and effective for consumption or use.

  • Production Dates: Also known as manufacturing dates or pack dates, these refer to the date on which a product was manufactured or processed.

  • Receiving Dates: Mark the date when goods are received into inventory or a warehouse from suppliers or production facilities.


Receiving Dates

Receiving dates can be modified, used, or displayed in the following parts of Logiwa.

Client parameter:

  • Keep Receiving Date on Inventory: Allows users to choose whether to track and display the receiving date on screens and reports, enhancing flexibility in inventory visibility.

Screens that display receiving dates:

  • Inventory by Location

  • Shipment History

  • Task Details

Algorithms that use receiving dates:

  • Putaway Algorithms: Sorting, conditions

  • Allocation Algorithms: Sorting, conditions

Printouts that include receiving dates:

  • Picking List

  • Consolidated Picking List

  • Purchase Order List

Open API methods that include receiving dates:

  • Inventory by Location

  • Task Details

  • Shipment History

The receiving date must be logged in the Receiving Date field within the related tables. These dates should be logged during the processes outlined below:

  • Mobile receiving

  • Receiving endpoint with API

  • Receiving from the Purchase Order screen with the Receive PO button.

  • When using the Add Inventory button from Inventory by Location, set that date as the Receiving date.

  • During Inventory Adjustment, if the quantity is changed, the receiving date should be updated to that day's date.

  • When using Import Inventory, set the import date as Receiving Date.

  • When using the Count Update:

    • If the count is less than the physical count, the record with the oldest receipt date should be removed from inventory during stock adjustment.

    • If the physical count exceeds the system count, the system updates the oldest recorded record among the previous stock records

      • If there are records without a receiving date, the date of the day the count update was made is added to those records.

  • If there is a Receipt Date for inventory, these stocks should not be merged.

    • Example: Say that there are three products in Loc1 with the dates 2024/02/07, 2024/02/08 and 2024/02/09, they should appear separately, just like the expiration date.


Production Dates

Production dates can be modified, used, or displayed in the following parts of Logiwa.

Screen parameters:

  • Product screen parameter

    • Production Date Tracking: Enables or disables tracking of the production date for products.

      • Note: When Expiry Date Tracking and Production Date Tracking are both turned on, data entry is required on mobile screens, and records are generated in inventory reports. If Use Production Date is activated, regardless of whether Production Date Tracking is on or off, this means that the Production Date will be scanned for the Expiry Date, and the system will compute the Expiry Date by adding the shelf life to the Production Date. This process will occur on each mobile screen.

  • Returns screen parameter

    • Production Date Match: If this parameter is enabled, if the production date entered during a return is not the same as the production date in the system, the system will display an error. If disabled, any production date can be accepted during the return process.

  • PO Types parameter

    • Production Date Match: This toggle enforces validation checks that the entered production date matches the production date in the PO.

  • Location parameter:

    • Only 1 Production Date: When enabled, ensures that each location can only have one unique production date for a product.

  • LP Types parameter:

    • Only 1 Production Date: When enabled, ensures that each location can only have one unique production date for a product.

Mobile screens that display production dates:

  • Look Up

  • Pick Target

  • Pick and Sort by Tote

Mobile screens where production dates can be entered:

  • Receiving

  • Transfer

  • Picking

    • Pick to Location

  • Count

Reports that display production dates:

  • Inventory by Location

    • It is possible to change production dates using the Change Attributes option at this screen.

  • Receiving History

  • Transaction History

  • Task Details

  • Shipment History

  • PO Details

  • SO Details

Expiration Date

Expiration dates can be modified, used, or displayed in the following parts of Logiwa. The terms expiration/expiry date are used interchangeably in the system.

Screen parameters:

  • Product screen parameter

    • Expiry Date Tracking: Enables or disables tracking of the expiration date for products.

      • Note: When Expiry Date Tracking and Production Date Tracking are both turned on, data entry is required on mobile screens, and records are generated in inventory reports. If Use Production Date is activated, regardless of whether Production Date Tracking is on or off, this means that the Production Date will be scanned for the Expiry Date, and the system will compute the Expiry Date by adding the shelf life to the Production Date. This process will occur on each mobile screen in such scenarios.

Exp. Date/Prod. Date on Mobile, Return, and Inventory Report Screens

When creating products, we have three parameters related to the topic of expiration date and production date usage. These will determine if these fields appear/are used on mobile screens:

  • Production Date Tracking

  • Expiry Date Tracking

  • Use Production Date

Depending on the active/passive status combinations of these parameters, the bottom-of-the-screen menu and data entry fields on mobile screens are visible. The cases in which such fields appear in line with the set toggles are outlined in the table below:

Additionally, the appearance of the Production Date and Expiry Date input fields on the Return screen will be as per the table below:

Finally, the table below shows how the Production Date and Expiry Date will appear on Inventory Reports depending on the parameter settings.
