How to synchronise your timetable and calendar

Add your appointments to your personal calendar.

You can set up your personal calendar to show your timetable events (i.e. appointments, time blocks) up to a week ago.

  • Appointments made on the booking system will copy over to the calendar app.

  • But appointments made on the calendar app will not copy over to the booking system, as the system cannot see your personal events.

The system's Timetable should be used as the main tool to manage your bookings.


To synchronise the two, within Settings > Integrations, under Connect your timetable to your diary or emails, click Edit against your name/record and copy the calendar URL in the box:

Depending on which calendar app you use:

iOS (iPhone/iPad) Calendar

  • On your iPhone/iPad, open the Settings app.

  • Scroll down and select Calendar > Accounts > Add Account > Other > Add Subscribed Calendar.

  • Paste the calendar URL you copied into the Server field and tap Next.

  • You can rename the calendar (e.g. to 'My Appointments') in the Description field.

  • Tap Save to finish.

Google Calendar

Please note that Google Calendar can take up to 24 hours to synchronise changes - i.e. timetable events will not show immediately.

  • On your computer, open Google Calendar.

  • In the left pane, click the plus + icon to the right of Other calendars and select From URL in the drop-down.

  • Paste the calendar URL you copied and click Add calendar.

  • It will now appear under Other calendars and you can rename it (e.g. to 'My Appointments') by hovering over it and clicking the three vertical dots followed by Settings.

Outlook Calendar

Please note that Outlook Calendar can take up to 24 hours to synchronise changes - i.e. timetable events will not show immediately.

  • On your computer. sign in to Outlook.

  • Click the calendar icon (on the left or at the bottom of the page).

  • In the calendar pane, click Add calendar followed by Subscribe from web.

  • Paste the URL you copied and set a calendar name (e.g. 'My Appointments') before clicking Import to finish.
