About Online Payments and how to set it up

Allow or require customers to prepay online when booking an appointment or purchasing a product.

About Online Payments

You can make it optional or required for customers to prepay online when booking an appointment or purchasing a product. They just need to enter a debit or credit card (excluding American Express) to pay which is saved to their account for the convenience of future transactions.

If you manually book an appointment for a customer, you can on the appointment record click [Request Online Payment] to send them a payment link via email or SMS.

Once an online payment is made, it takes just two business days to reach your designated bank account. The payout frequency can be customised at your request (e.g. group payments weekly to pay out on a selected day).

Transaction fees

The standard transaction fee for online payments (in full or deposit) is 2.9% + £0.20.

However, if the gross value of transactions in the previous 30 days exceeds certain limits, the rate improves:

  • £2,500 or more: 2.4% + £0.20

  • £5,000 or more: 2.0% + £0.20

  • £10,000 or more: 1.8% + £0.20

  • £30,000 or more: Get in touch for a tailored price

Setting it up

Firstly, register your details and add a bank account within Settings > Online Payments. This may take a few hours for approval. Once approved, you will see Your registration is complete and Bank transfers are enabled on your account:

Once registered, within Settings > Online Payments > [Settings] (at the top-right), choose your configurations before toggling on Online Payments:

Prepayment for appointments

  • Optional: Upon booking, customers can choose to either prepay online or later in-store:

    Meanwhile, you can force prepayment on individual customers (e.g. no-shows) who are subject to the prepayment setting (full/deposit/none) configured at the service level.

  • Required: Customers are subject to the prepayment setting (full/deposit/none) configured at the service level when booking. Meanwhile, you can force individual customers (e.g. no-shows) to always prepay the full amount.

Service prepayment setting

To change the prepayment setting at the service level, within Settings > My Business, click the pencil (edit) button against the staff's service:

The choice will be indicated on the service price - example above showing:

  • Haircut: Requires the full £20 prepayment.

  • Sides & Back: Requires no prepayment.

  • Facial: Requires a partial £10 prepaid deposit.

Customers on forced prepay

You can force prepayment on an individual customer by clicking the [Force Prepayments] button on their record. Depending on your Prepayment for appointments setting:

  • Optional: Forced customers are subject to the prepayment setting (full/deposit/none) configured at the service level.

  • Required: Forced customers always prepay the full amount.

These customers will be marked with a card icon next to their name and listed under the Forced Prepay tab on the Customers (directory) page.


You can un-force a customer by editing their record and unticking forced prepayment.
