What is a Booking?

A booking is a guest who is scheduled in advance.

This is also commonly referred to as an appointment or reservation. Bookings can be contrasted to "walk-ins" or guests who don't schedule their service in advance.

Get Set Up

  1. Head to the Settings page to enable bookings. This feature is available on all paid plan tiers. Note, if you are using the free plan, you'll need to upgrade first to take advantage of this feature.

  2. Once enabled, you have the option of customizing the default settings. On your Notifications page, you'll see a new section for bookings. From here, you can modify your:

    • Scheduled Message: The SMS text sent to a guest when their booking is successfully scheduled.

    • Reminder Message: The SMS text sent to a guest as a reminder that their booking time is approaching.

    • Reminder Threshold: How many hours prior to the scheduled booking time the reminder message should be sent. By default this is 3 hours.

    • Booking Display Threshold: How far in advance bookings should appear in the waitlist. By default, this is 1 day prior to the scheduled booking time. This setting can be changed from your General Settings page.

Start Scheduling

  1. Head to your waitlist and click “Add Guest”.

  2. Toggle on the new “Booking” switch at the top of the form.

  3. Fill out the guest details, including the "Booking Date" and "Booking Time" fields.

  4. Click “Create” to finish. The guest will be added to your waitlist in a “Scheduled” state.

  5. Once scheduled, the guest receives a confirmation text message with the details of their booking. They can cancel at any time by replying “9” to this message.

  6. When their booking is getting close, the guest receives a reminder text message. They can confirm their booking by replying “1” or cancel by replying “9” to this message.

Manage Bookings Alongside Walk-ins

  1. Use the new bookings button at the top of the waitlist to quickly reference all your future bookings. We’ve added some convenient date range filters so you can look at bookings scheduled for Today, Tomorrow, Next 7 Days, Next 30 Days, and All Future.

  2. A count will appear on the bookings button to indicate how many bookings there are today and help remind your staff of upcoming guests.

  3. Like magic, bookings will seamlessly slot into your waitlist between walk-ins based on the guest’s scheduled time. The "Scheduled" status and a helpful visual indicator we’ve added will help your staff distinguish between walk-ins and bookings.

  4. If a scheduled guest confirms their booking, their status will update to “Confirmed”. If they cancel, their status will update to “Canceled (By Guest)” for you to reference prior to removing them from the waitlist.

  5. When a scheduled guest arrives, you can either service them immediately or use our new “Check In” button to update their status to “Checked In”. This can help the rest of your staff know that they are here and ready for service.

  6. If at any point you want to treat a booking like a walk-in, you can always update their status to “Waiting” and go through the normal walk-in flow.
