Outlook Add-in Integration

Track emails and associate conversations with opportunities directly from Outlook

The NextStage Outlook Add-in allows you to link email conversations to Contacts and Opportunities without using BCC addresses. This ensures all communication is automatically tracked and accessible within your pipeline.

This integration works with Microsoft 365 Commercial tenants. If you are using a GCC tenant, please follow these instructions.


Installation

Step 1: Open the Add-ins menu in Outlook

Start composing a new email in Outlook.

Click the three-dot menu in the toolbar, then select Get Add-ins.


Step 2: Search for the NextStage Add-in

In the Add-ins store:

  1. Enter NextStage in the search bar

  2. Select NextStage Addin for Outlook

  3. Click Add


Step 3: Verify the Add-in is installed

Once installed, you will see the NextStage Addin for Outlook button in the email compose toolbar.


Step 4: Access the Add-in in Outlook Desktop (Windows)

In Outlook Desktop, click the NextStage for Outlook button in the ribbon while composing an email.


Step 5: Access the Add-in in Outlook Web

In Outlook Web, click the three-dot menu at the bottom of the email compose window and select the NextStage Add-in.


Using the Add-in

Step 1: Open the NextStage Add-in

Click the NextStage Add-in icon to open the integration panel.

You may be prompted to sign in using your NextStage credentials.


Step 2: Associate the email with Contacts

Enable: Link this conversation with contacts

This will:

  • Save the email as a Note on associated Contacts

  • Ensure communication history is preserved

  • Provide full visibility for capture teams and leadership


Step 3: Associate the email with Opportunities

Use the Add-in panel to:

  • Filter opportunities

  • Search by opportunity name

  • Select one or more opportunities to associate

When selected, the email will automatically be attached to those Opportunities as Notes.


Alternative Method: BCC Tracking

You can also associate emails by adding your unique NextStage BCC address to the email.

This method:

  • Works in any email client

  • Automatically links the email to NextStage

  • Requires no manual interaction

However, the Add-in provides a more seamless and user-friendly experience.


What Happens After Sending

Once you send the email:

The email will automatically be saved in NextStage as:

  • Contact Notes

  • Opportunity Notes

  • Historical communication records

This enables:

  • Capture teams to track communication history

  • Leadership to review engagement activity

  • Proposal teams to reference prior conversations


Best Practices

Recommended usage:

• Use the Add-in instead of BCC whenever possible
• Associate emails with Opportunities early in the capture lifecycle
• Ensure emails are linked to the correct pipeline opportunity
• Encourage capture teams to use this consistently

This improves capture visibility, pipeline accuracy, and team coordination.


Troubleshooting

If the Add-in does not appear:

• Restart Outlook
• Confirm it is installed in Get Add-ins
• Ensure your Microsoft tenant allows add-ins
• Contact your administrator
