Overview

Custom profile fields (CPFs) can be used to capture relevant candidate information that is not already requested on an application as well as onboarding or HR-related information, like the name of the HR representative who is processing the candidate, the salary, or the start date. In addition, users have the ability to add CPF data to forms.

Creating a new CPF

CPFs are located at the bottom of the settings page. To create a new CPF, click the New Profile Field button.

To begin, add a title to the field.

Next, select the field type from the following options:

  • Date: This field will require input in the form of a date

  • Currency: This field will require input in the form of $ currency

  • Select from list: Once created, this field will allow the user to select the input from a dropdown menu. When creating the list, the Super Admin can type or paste values and separate them by line or with commas

  • Link: This field will require input in the form of a valid URL (you can use any domain name as long as there are at least 2 letters preceding and following the “.”)

  • Text: This field will freely accept input without formatting constraints

These field types allow Super Admins to ensure consistent formatting of data.

Next, select which users will be able to view and edit the field by clicking the dropdown in the View/Edit Access section. You can set permissions by a group of users and/or an individual user.

Once you have selected the user type or specific user you would like to set permissions for, set the permission to View Only or View and Edit access. To do so, click the Select Permission dropdown and choose an option. Make sure to hit the green "Add" button for each individual user or group.

Lastly, you can select whether these fields will be visible on the candidate's quick view and/or their full profile before hitting the Save button.

Editing custom profile fields

Existing CPFs can be edited from the Settings page by clicking the “edit” pencil icon next to the CPF of interest.

Upon clicking the edit button, the CPF will open. When you have finished making your changes, click “Save & Close” to save your changes and close the CPF window.

CPFs can also be reordered in this section by clicking and dragging. The new order will be reflected on candidates' quick views and full applications.

As a reminder, information entered in CPFs can also be used to customize onboarding forms, like an offer letter. You can learn more about how to create forms or send forms in our help center!
