Note: With the addition of the Talent Marketplace, the Prospects page now looks slightly different for organizations in Indiana. Visit the linked article to learn more.
In Nimble, a prospect is a potential candidate that has yet to apply to a specific position, but is interested in opportunities within the organization. With the prospects feature, users can track relevant prospect information and notes, send emails, upload documents and convert the prospect to a candidate with the click of a button!
Adding a prospect
To add a prospect, navigate to the Prospects page on the top right of the navigation bar.
Click the + New Prospect button in the top right corner of the page.
The new prospect entry form will pop up in a new browser. Enter the prospect’s name and email address and then click the submit button. You can also use this form as your sign-in sheet at future recruitment events!
Once you refresh the browser, you’ll see the list of new prospects that were added to the system in the prospect list.
Prospect List
Just like on the Candidate list, users have the ability to change keyword search for a prospect in the search bar. You can also change the prospects status in email and export the prospect information in bulk by clicking the checkboxes on the left side of the prospect list and then clicking the applicable button below.
Prospect statuses
By default all prospects will be in the Not Contacted status when they’ve been added to the system. To change a prospect’s status, click on the prospect’s name to open their quick view. From there you’ll be able to click on the drop-down and move the candidate from Not Contacted to Attempted Contact, Contacted or Archived.
You also have the ability to filter by the prospect’s status, source or prospect tags. By default, all statuses (except archived) and sources will be selected in the filters. You can deselect filters by clicking each item one by one or clicking the “Clear All” link above each filter in the list.
To clear all filters, navigate the top left of the page, next to the New Prospect button and click the Clear All Filters link.
Candidate quick view
Users also have the ability to add prospect source information, attach files, add notes and review a prospect’s activity feed all from the quick view. To change the prospect’s source, click the prospect’s name in the Prospect list, this will open the candidate’s quick view. Click the down chevron next to Source, under the Convert to Candidate button. From there you can scroll through and select a source to associate with the prospect.
Prospect tags allow users the ability to attach relevant metadata to a candidate, making it easier for users to narrow in on a subset of prospects based on the associated tag(s). To add prospect tags, click into the dropdown, select the applicable tag and hit enter.
To learn more about how to create tags on your settings page, check out the candidate tags guide here.
To add attachments, stay on the candidate quick view and click the up arrow icon in the attached files section.
To add a note, click into the internal notes section and begin typing your note. You can @mention other system users here as well. If you are tagged in a note, you will receive a notification via email. The email will include a link that you can click to navigate back to the note in which you were tagged.
On the activity feed, you’ll see all related actions taken with each prospect, as well as who made the change and when.
Converting prospects to candidates
Lastly, you can convert a prospect to a candidate by clicking the Convert to Candidate button in the top right corner of the quick view for each prospect.
Once you click the Convert to Candidate button, a modal will appear prompting you to select the job title and status of the job you’d like to add the newly converted prospect to. You have the option of adding this converted prospect to multiple jobs with varying statuses.
Once the prospect has been converted to a candidate, they can create an account at app.hirenimble.com. Once logged in, they will see on their dashboard all jobs for which you’ve converted them to a candidate, and they will have the option to complete their profile or upload any information needed for those jobs.
