How to Troubleshoot Invitation Issues and Resend Invites in Ninety
Team collaboration starts with getting everyone into Ninety. While inviting teammates is typically straightforward, invitation delivery or acceptance issues can occasionally occur. This guide walks you through the most effective solutions to ensure your team members can successfully join your account. For the standard process, see Adding and Inviting Users to Your Account.
Do you have permission to invite users?
Before troubleshooting, confirm your role allows you to invite — and what roles you can assign. Invitation permissions in Ninety depend on your role:

Only an Owner can invite a Coach — see Inviting Your Coach. If you're trying to assign a role above your permission level, ask your workspace Owner or Admin to send the invitation instead. To check your own role, go to Directory and find your name in the Role Access column.
Permission is only half of it — you also need an available license. Every paid role (Owner, Admin, Manager, or Team Member) consumes one license. Owners and Admins can add a license as they invite, so their invitations always go through. Managers cannot add licenses, so a Manager's invitation only succeeds when your account already has one available. If none are left, ask an Owner or Admin to add one from Billing > Manage licenses, then send the invitation. See Adding, Removing, and Reassigning Licenses.
When team members haven't received their invitation
If a teammate reports they haven't received their invitation email, start here.
Resend the invitation from the Directory:
Click Directory from the left navigation.
Locate the user's name in your Directory.
Click the ellipsis (three dots) next to their name.
Select Resend Invite to send another invitation email.
Alternative: Click Copy unique invite link from the same menu to create a direct link you can share with the user via text, email, or any other method.
Send a fresh invitation: If resending doesn't work, click Add Teammates from the left navigation, enter the user's email address and role, and click Add teammates to send a new invitation.
Resolving common invitation errors
"Could not activate user. Please try again."
This error appears when you click Invite or Add teammates and the invitation can't be created. It usually means the email address is still attached to a user record in your account — either an incomplete invite from an earlier attempt, or a user who was previously deleted.
Start here: clear the incomplete record.
Click Directory from the left navigation.
Find the person showing the error.
Click the ellipsis (⋯) next to their name.
Select Delete to remove the incomplete record.
Click Add Teammates and send a fresh invitation.
If the error comes back immediately, send a direct invite link instead. In the Directory, click the ellipsis next to their name and select Copy unique invite link, then send that link to them directly. This bypasses the invitation email entirely and resolves many cases.
If neither works, the address is still bound to a deleted user. When an email address was used by someone you removed from the account, the old association can remain in place, and deleting and re-adding won't clear it. This one can't be fixed from the Directory — contact support with the email address you're trying to invite, and they can release it.
"This email is already associated with an existing user."
This error typically occurs when a previous invitation attempt created a partial user record. To resolve it:
Delete the existing invitation. Go to the Directory, locate the user, click the ellipsis next to their name, and select Delete to remove the incomplete invitation.
Create a new invitation. Use Add Teammates to send a fresh invitation, and ensure the user clears their browser cache before accepting.
Clear browser cache. Ask the user to clear their browser cache and cookies, then try the invitation link in an incognito or private browsing window.
Email delivery issues
Check spam and junk folders. Invitation emails can sometimes be filtered into spam folders.
Add Ninety to the safe sender list. Have your teammate add @ninety.io and @notifications.ninety.io to their email provider's safe sender list or whitelist.
Share the direct invite link. Use the Copy unique invite link option from the Directory to bypass email delivery entirely.
If the invitation still doesn't arrive. If your teammate has checked their spam folder, added Ninety to their safe sender list, and the invitation still isn't arriving — even after resending or sharing the unique invite link — their email address may be on Ninety's suppression list. This happens when their email provider previously bounced or rejected a message from Ninety, which blocks all future emails to that address automatically. Standard troubleshooting won't resolve it — contact support and they can remove the address from the suppression list.
Browser and technical issues
Clear browser data. Ask your teammate to clear their browser cache, cookies, and browsing data before attempting to accept the invitation.
Try a different browser. Ninety performs best on Chrome, but Firefox, Safari, and Edge are also supported.
Disable browser extensions. Ad blockers or privacy extensions can interfere with the invitation process. For more, see How to Troubleshoot Browser-Related Issues in Ninety.
When all else fails
Verify the email address. Double-check that you're using the correct email address for the invitation.
Try an alternative email. If your teammate has multiple email addresses, try sending the invitation to a different one.
Contact support. If issues persist, contact support through the chat feature or email for additional assistance.
