How to Troubleshoot Invitation Issues and Resend Invites in Ninety

Team collaboration starts with getting everyone into Ninety. While inviting teammates is typically straightforward, invitation delivery problems or acceptance issues can occasionally occur. This guide walks you through the most effective solutions to ensure your team members can successfully join your account.

Do you have permission and an available license?

Two things have to be true before an invitation can go out: your role must allow you to invite, and your account must have a license for the new user.

Owners, Admins, Implementers, and Managers can invite users, with two limits. Only an Owner can invite an Implementer — see Inviting Your Implementer. And Managers can only invite at their own level or lower, so a Manager cannot invite an Owner, Admin, or Implementer. Managees, Observers, and Inactive users cannot invite anyone.

Permission is only half of it — you also need an available license. Every paid role (Owner, Admin, Manager, or Managee) consumes one license. Owners and Admins can add a license as they invite, so their invitations always go through. Managers cannot add licenses, so a Manager's invitation only succeeds when your account already has one available. If none are left, ask an Owner or Admin to add one from Billing > Manage licenses, then send the invitation. See Adding, Removing, and Reassigning Licenses.

Invite Resend vs. Password Reset: Which Do You Need?

These two flows solve different problems. Using the wrong one is the most common source of confusion when a team member can't access their account.

When Team Members Haven't Received Their Invitation

If a teammate reports they haven't received their invitation email, start with these steps:

Resending Invitations from the Directory

  1. Click Directory from the left navigation.

  2. Locate the user's name in your directory.

  3. Click the ellipsis (three dots) next to their name.

  4. Select Resend Invite to send another invitation email.

Alternative method: Click Copy unique invite link from the same menu. This creates a direct link you can share with the user via text, email, or any other communication method.

Sending a Fresh Invitation

If resending doesn't work, you can create a new invitation:

  1. Click Add Teammates from the left navigation.

  2. Enter the user's email address and select their role.

  3. Click Add teammates to send a new invitation.

Resolving Common Invitation Errors

"Could not activate user. Please try again."

This error appears when you click Invite or Add teammates and the invitation can't be created. It usually means the email address is still attached to a user record in your account — either an incomplete invite from an earlier attempt, or a user who was previously deleted.

Start here: clear the incomplete record.

  1. Click Directory from the left navigation.

  2. Find the person showing the error.

  3. Click the ellipsis (⋯) next to their name.

  4. Select Delete to remove the incomplete record.

  5. Click Add Teammates and send a fresh invitation.

If the error comes back immediately, send a direct invite link instead. In the Directory, click the ellipsis next to their name and select Copy unique invite link, then send that link to them directly. This bypasses the invitation email entirely and resolves many cases.

If neither works, the address is still bound to a deleted user. When an email address was used by someone you removed from the account, the old association can remain in place, and deleting and re-adding won't clear it. This one can't be fixed from the Directory — contact support with the email address you're trying to invite, and they can release it.

"This Email Is Already Associated with an Existing User"

This error typically occurs when a previous invitation attempt created a partial user record. Here's how to resolve it:

Delete the existing invitation:

  • Go to the Directory and locate the user.

  • Click the ellipsis next to their name.

  • Select Delete to remove the incomplete invitation.

Create a new invitation:

  • Use the Add Teammates button to send a fresh invitation.

  • Ensure the user clears their browser cache before accepting.

Clear browser cache:

  • Ask the user to clear their browser cache and cookies.

  • Have them try accessing the invitation link in an incognito or private browsing window.

Additional Troubleshooting Solutions

Email Delivery Issues

Check spam and junk folders: Invitation emails can sometimes be filtered into spam folders. Ask your teammate to check these locations.

Add Ninety to safe sender list: Have your teammate add @ninety.io and @notifications.ninety.io to their email provider's safe sender or whitelist.

Share the direct invite link: Use the Copy unique invite link option from the Directory to bypass email delivery entirely.

If Emails Still Aren't Delivered: Suppression List

If your teammate has checked their spam folder, added Ninety to their safe senders list, and the invitation still isn't arriving — even after resending or sharing the unique invite link — their email address may be on Ninety's suppression list. This happens when an email provider previously bounced or rejected a message from Ninety, causing all future emails to that address to be blocked automatically.

Standard troubleshooting steps will not resolve this. Contact Ninety's support team using the chat bubble in the app, and they can remove the address from the suppression list directly.

Browser and Technical Issues

Clear browser data: Ask your teammate to clear their browser cache, cookies, and browsing data before attempting to accept the invitation.

Try a different browser: Sometimes browser-specific issues can prevent invitation acceptance. Ninety performs best on Chrome, but we also recommend trying Firefox, Safari, or Edge.

Disable browser extensions: Ad blockers or privacy extensions might interfere with the invitation process. Have your teammate temporarily disable extensions.

Email Client/Provider Problems

Verify email functionality: Confirm your teammate is receiving other emails normally and their email client isn't experiencing broader issues.

Check email settings: Ensure their email provider isn't blocking emails from external sources or new domains.

When All Else Fails

If standard troubleshooting doesn't resolve the issue:

  1. Verify the email address: Double-check that you're using the correct email address for the invitation.

  2. Try an alternative email: If your teammate has multiple email addresses, try sending the invitation to a different one.

  3. Contact support: If issues persist, contact support through the chat feature or email for additional assistance.
