Time and Attendance

This article outlines the key Time & Attendance policies available in Nowsta and how each setting affects worker behavior and tracking.

Actual Hours Policy

Controls whether workers can view the number of hours they have worked.

Options:

  • Enabled: Workers can see their actual hours worked.

  • Disabled: Workers cannot see their actual hours worked.


Location Geo-Fence Enforcement Policy

Determines whether workers must be within a defined location radius to clock in.

Options:

  • Flexible (Flagged): Workers can clock in from anywhere. Clock-ins outside the geo-fence are flagged on the Time & Attendance page.

  • Strict Enforcement: Workers can only clock in if they are within the defined geo-fence.

Note: Self-clock-in must be enabled for an event for geolocation to be tracked. If you would like to enable this for most events, we recommend enabling self-clock-in by default in Event Defaults.


Non-Event Shifts Self Clock-In Policy

Controls whether workers can clock in to shifts that are not tied to an event.

Options:

  • Enabled: Workers can self clock-in for non-event shifts.

  • Disabled: Workers cannot self clock-in for non-event shifts.

Additional Info:

If geo-fencing is enabled, the work location used will be taken from the shift or the default location setting of the shift's department


Unscheduled Shifts – Tablet Timeclock Policy

Determines whether workers can use the tablet timeclock to clock into a shift that has not been scheduled.

Options:

  • Enabled: Workers can clock in to unscheduled shifts via the tablet timeclock.

  • Disabled: Workers cannot clock in to unscheduled shifts via the tablet timeclock.


Unscheduled Shifts – Worker App Policy

Controls whether workers can clock in to unscheduled shifts using the mobile app.

Options:

  • Enabled: Workers can self clock-in to unscheduled shifts via the app.

  • Disabled: Workers cannot self clock-in to unscheduled shifts via the app.

Note: Worker location will still be recorded, but geo-fencing does not apply since the shift has no predefined location.


Early Arrival Policy

Defines how early workers can clock in before their scheduled shift.

Options:

1. Disable early clock-in and on-time clock-in for workers who arrive early

  • Workers cannot clock in early.

  • Clock-in is only allowed at or after the scheduled start time.

  • Workers cannot clock in after the shift has ended.

2. Enable on-time clock-in for workers who arrive early

  • Workers can indicate arrival within a set timeframe before the shift.

  • They will be automatically clocked in at the scheduled start time.

  • Early clock-in is not allowed.

3. Enable Early Clock-In

  • Workers can clock in within a defined timeframe before the shift.

  • Clock-in is not allowed before the selected timeframe or after the shift ends.


Early Arrival Timeframe

Defines how early workers can clock in.

Options include:

  • Anytime on the day of the shift

  • 5, 10, 15, or 30 minutes before

  • 1 or 2 hours before


Auto Clock-Out Policy

Ensures workers are automatically clocked out of shifts left open overnight.

Settings:

  • Toggle ON/OFF for automatic clock-out

  • Define when auto clock-out begins

  • Set the minimum duration a shift must be open before auto clock-out applies


Example:

If enabled, any active shifts exceeding the defined duration will be automatically clocked out starting at the specified time.

These policies help ensure accurate time tracking, enforce location requirements, and provide flexibility based on your organization's operational needs. Adjust each setting to match your workflow and compliance requirements.
