How Archived Workers Affect Billing in Nowsta

Archiving workers in Nowsta keeps their historical scheduling, timekeeping, and payroll information while removing them from active worker counts for future billing cycles.

For customers on the Roster Plan, billing is based on the number of active workers on your roster.

Workers who remain archived for the entire calendar month are excluded from that month's invoice.

How Archived Workers Affect Billing

1. Archive a Worker

When you archive a worker, their historical information is preserved, including:

  • Past shifts

  • Timecards

  • Pay rates

  • Worker profile information

  • Historical scheduling and payroll data

Archiving a worker does not immediately remove them from the current billing cycle.

2. Full-Month Archival

A worker must remain archived for the entire calendar month to be excluded from that month's billing.

For example, if a worker is archived on September 15, they were active during part of September and will still be included in the September billing cycle.

3. Reactivating a Worker

If an archived worker is unarchived or reactivated at any point during a month, they are counted as active for that billing cycle.

4. Billing in Arrears

Nowsta bills in arrears on the 1st business day of each month for the previous month's usage.

For example, an invoice received in January covers usage from December.

Because billing is in arrears, archiving a worker does not retroactively change previous invoices or billing history.

Alternative Method

If you need to remove a worker from your active roster while keeping their historical information, archive the worker instead of deleting them.

Deleting a worker permanently removes their record and can affect access to historical information.

Important Notes

  • Workers must be archived for the entire calendar month to be excluded from that month's billing.

  • Mid-month archival takes effect for the next full billing cycle.

  • Reactivating a worker during a month means they are counted as active for that billing cycle.

  • Archiving does not retroactively adjust previous invoices.

  • Accounts with contractual terms or monthly minimums may still be billed the required minimum regardless of the number of active workers.

Summary

Archiving is the recommended way to remove workers from your active roster while preserving their historical information. Workers must remain archived for the full calendar month to be excluded from that month's billing.
