Overview
When exporting events from Caterease to Nowsta, you can choose to sync individual events from the Event Manager or perform a bulk/batch export (e.g., syncing all events for an entire month).
â
If a batch export fails even though individual events seem to push successfully, it is typically caused by a single event in the batch referencing an un-synced, unmapped, or deleted client account in Caterease. Because batch exports validate all records in the batch, one invalid client reference will block the entire sync.
Symptoms & Error Messages
Bulk Export Fails: Attempting to export an entire date range or month fails, while pushing individual events manually from the Event Manager works.
Backend Error / Warning:
Unknown mapping found for client_id (xxxxxxxxxx-xxxxx-xxxxxxxxxxxxxx)
Caterease Warning: A notice indicating there is nothing to export, or the export process halts unexpectedly.
Root Cause
Batch Validation Requirement: When Caterease sends a batch payload to Nowsta, every event must map to a valid, active client record.
Deleted or Unsynced Clients: If an event was created under a client account that was later deleted in Caterease (or created without syncing the client first), Nowsta cannot map the event. As a result, the entire batch process fails.
Step-by-Step Resolution
Step 1: Check and Restore Deleted Client Accounts in Caterease
If the client account tied to a booked or historical event in the export range was deleted:
In Caterease, click on Administration in the top navigation bar.
Select Other > Restore Deleted.
Choose Accounts from the menu.
Locate and select the affected client account record.
Click Tools (in the top-left corner of the window) and select Restore Selected Account.
This moves the account back to the active Account Manager.
Step 2: Verify Required Client Fields in Caterease
Ensure the client record has all essential fields populated so Nowsta can map it properly:
Open Account Manager in Caterease and select the client.
Confirm the following required fields are complete:
Client / Company Name
First Contact (Full Name)
Telephone 1
Email Address
Save any changes made to the account.
Step 3: Re-trigger the Batch Export
Once the client account is restored and updated, open your Caterease export module.
Select your desired date range (e.g., the full month).
Re-run the batch export to Nowsta.
đĄ Best Practices
Audit Export Date Ranges: Ensure your export range does not inadvertently capture cancelled or soft-deleted test events from past months.
Sync Clients First: When creating new clients in Caterease, ensure contact details are filled out before scheduling events to prevent mapping discrepancies.
Need Further Assistance? If the batch still fails after restoring accounts, copy the specific event numbers (#E...) and share them with Nowsta Support for backend log inspection.
