Overview and key actions to manage your Dealership Account

Introduction

Managing your Dealership’s account is a key feature of the Octane platform. You can delegate certain responsibilities like inviting new members into the platform, and controlling their access to view applications and update certain dealership settings.

Accessing Account Management/Dealership Settings

  1. Your Dealership Settings can be accessed in the top-right corner of the Octane Portal, underneath the ‘Your Account’ dropdown menu. This is available from any page in the portal. Note: You need to have Admin access in order to see this option available.



  2. In the left-hand sidebar, select Manage Users


  3. On this page, you’ll have both the option to Invite New Users, in addition to managing existing Users and their access.



Inviting A User (Admin)

  1. Navigate to the Dealership Settings - Manager Users page


  2. Click the Invite New User button


  3. Complete the form, including the name, email and type of access you want to assign this user


    1. Admins can invite other users into the platform. This is very useful if you want to delegate a specific person to manage access at your dealership.



  4. You can also adjust what applications a user sees by selecting the appropriate application access from the dropdown on the bottom right



  5. Click the ‘Send Invite’ button


  6. An email invitation will be sent to the email address you provided that is associated with this new user


Note: Admin users can send invite reminders to notify new users to join


Inviting A User (Teammate)

  1. Navigate to the Dealership Settings - Manager Users page


  2. Click the Invite New User button

  3. Complete the form, including the name, email and type of access you want to assign this user

    1. Teammates cannot invite other users into the portal, and they will not be able to access the Dealership Settings menu and preferences

  4. Select the level of application access you wish to grant to this teammate.

  5. Click the ‘Send Invite’ button


  6. Your new teammate should have an invitation in their inbox that will allow them to set a password and complete their account creation for the Octane Portal. Your pending invitation will appear in the Invites area until they have accepted the invite.


Onboarding into the Octane Portal

  1. Locate the invitation email in your inbox - check your Spam folder if you aren’t able to easily locate it. The subject line reads ‘You’ve been invited to join Octane!’


  2. Open the email and click the ‘Join Octane’ button within the invite


  3. This link should open your first-time-user onboarding. You’ll only have to go through this process once


  4. Provide your contact information and create a strong password that meets the security requirements

  5. Review and check the terms and conditions box

  6. Click on the ‘Create Account’ button

  7. Wait for the process to finish - you will see a success message when it is complete

  8. Voila! You’re new user has been created and you now have access to the Octane Dealer Platform

  9. Once complete, the Administrators at your Dealership will receive an email notifying them of the user successfully joining the Dealer Platform


Changing a User’s access

Sometimes you need to upgrade or downgrade an existing user. This could happen for a few reasons (for example, a change in their job role at the Dealership, a promotion, etc). Sometimes you simply want to give another person at your Dealership the ability to invite users and manage the access to the Portal. With your Dealership Settings and Account Management, you’re able to do all of this without having to rely on any customer support.

  1. Navigate to the Dealership Settings - Manager Users page (this requires Admin access)


  2. Locate the User you would like to make adjustments to. They should appear in the ‘Active Users’ table


  3. Click on the pencil icon in the right of the table-row for that User

  4. The modal that pops up contains the same dropdowns for Level of Access and Application Access that you configured when inviting this User.


  5. Make any adjustments as necessary and click the ‘Save Updated Permissions’ button. Certain information (such as their name) are not editable.


  6. You should immediately see the updated level of access in the Active Users table


Deleting A User

  1. Navigate to the Dealership Settings - Manager Users page


  2. Locate the User you would like to delete


  3. Click on the trash-can icon in the right of the table row.

  4. You will see a confirmation modal to ensure you want to delete this account


  5. Click the ‘yes, delete this account’ button and complete the action

  6. You will be taken back to the Manage Users page and see a confirmation message in the top-right corner.

Note: Admins who can invite new users, can also delete new users invites
