Running Reports

This article will walk you through running reports from your main dashboard.

Running reports in On The Stage gives theatre organizations the insights they need to make informed decisions.

On the main dashboard, click on Reporting on the left side pane.

Here you can access the following report options:

We're excited to introduce new reporting, which includes viewing reports in the browser, new visualizations, new export formats, and more advanced filtering and sorting. You can view the following metrics at a glance:

Sales Reports

  • Add-on Sales: Performance of add-ons by production

  • Custom Fees: Breakdown of custom fee collections

  • Donations: Donation totals and trends by production

  • Order Details: Line-item breakdown of every order placed

  • Sales Activity: Daily gross revenue across all order types

  • Sales Movement: Velocity of timing of ticket sales over time

Patron Reports

  • Contact and Tags: Tagged contact segments and list management

  • Geography Map View: Visual heatmap of where your audience comes from

  • Geography Sales by Zip: Ticket sales broken down by zip code

  • Households: Household-level grouping and lifetime value

Program Reports

  • Current Members: All active memberships and their status

  • Lapsed Members: Members who have not renewed

  • Order Details by Production: Order-level breakdown filtered to a single production

  • Production Sales Report: Event-level revenue and attendance by production

  • Subscription Sales: Subscription package uptake and revenue

  • Upcoming Renewals: Members approaching their renewal date

Operations Reports

  • Check-in Reports: Attendee check-in status by event and section

  • Exchanges: Ticket exchanges by production and date

  • Reservations: Reservation records and fulfillment status

  • Occupancy Reports: Seat occupancy utilization by event

Finance and Reconciliation Reports

  • Journal Entries by Date: Accounting journal entries in chronological order

  • Journal Entries by Payout: Accounting journal entries grouped by payout

  • Payout Detail: Line-item breakdown within each payout

  • Payouts: Summary of all payout disbursements

You can access Legacy reports here. We know you may rely on existing reports in your workflow and will keep these available as legacy reports. These reports include:

Click on the report you want to run from the Report Name dropdown menu.

Enter any relevant information. Sample information includes show name, date range, or specific show date. Select your Report format: HTML, PDF, or Excel. Click Generate. Your Report will automatically download. Click on the downloaded document to open.

🎭Noteworthy: Some devices will blur or protect sensitive information such as emails, phone numbers or home addresses when formatted in HTML or Excel.
