Fundraiser Promo Email and Social Media Schedule

Learn how the On The Stage platform sends automatic email marketing and social media postings about your fundraisers to your contacts.

🎭Noteworthy: After a campaign is published with an activated promotional email/social schedule, the promotional email/posts cannot be unscheduled without unscheduling ALL PROMO EMAILS for the organization. If you have any questions regarding turning off your fundraiser emails, please reach out to your Account Manager to discuss how this will affect your campaign.

When a fundraiser goes live, a series of 6 messages is sent out via email and social media.

These messages are sent with specific messaging crafted around your fundraising efforts and will go to everyone on your contact list including contacts you have uploaded, everyone who has purchased a ticket, and everyone who has donated/made a purchase in the past.

The email and messaging are limited to the length of time the campaign runs, but there are up to 5 weeks of messages.

🎭Noteworthy: For fundraising campaigns that are less than 5 weeks only share the first message and the corresponding following weekly messages until the final week. For example, if you set up your fundraiser 3 weeks before it ends, 3 emails will go out, not the full 6.

The campaign emails will feature 3 calls to action:

  • Click to Donate/Help Fundraise

  • Click to Share

  • Click to Learn More About the Fundraiser

To Activate Fundraising Emails:

  1. Navigate to the draft campaign you would like to activate.

  2. Click the "Activate" toggle to the active (green) position.

  3. Click red "Activate" button on the confirmation model that appears.

If social accounts are connected, the social posts will be included in the schedule when the activation process above is completed.

Understanding Your Promo Email and Social Schedule:

The promotional schedule is based on the Start Date of the campaign and NOT the Publish date.

If you are creating your campaign in advance, makes sure the Start Date of the campaign is the day you are launching your fundraiser.

Example Fundraiser Beginning on February 14, 2024:

In the example below, I have a start date of February 14, 2024. This means my promo email schedule timeline will be considered active even WITHOUT publishing as of February 14, 2024.


In the example below, I have a Start Date of February 1; the day I created my campaign. Remember, my campaign is intended to begin on February 14, 2024.

Because the promo emails are based on the Start Date, even if I publish on February 14, my promo schedule will bypass all posts through Social Media Post #4 and Promo Email #3 per the schedule table above since it is dating back retroactively to February 1, 2024 upon publishing.
