Reporting on leavers' data can be very important! OneUp has the tools to do this, and we explain how they work here.

Overview

Being able to see data for leavers can be just as important as seeing current stats for your team. Even though users might have left your business, the work they contributed can make up significant progress towards company targets.

What happens to users when I delete them?

When a user account is deleted on OneUp, their data will still be stored against them in any linked accounts (e.g a CRM or VoIP account) attached to their OneUp account. You're still able to see this data - see the next section to learn how.

Billing for the user's license is automatically stopped on the day they are deleted.

Any targets the user had are immediately ended on the day they are deleted.

Deleting a user also automatically removes them from any leagues, leaderboards and slides they appeared in.

Deleted users will still remain in any missions, teams and matrix reports they were configured to appear in.

You can view the list of currently deleted users at any time, by going to the Users page from the settings menu at the top right of OneUp, and using the filters to include deleted users.

On the matrix

One of the best ways to view deleted user data is to bring them up in a matrix view. You can do this

  • In Users mode, by opening the user manager and selecting the deleted users you'd like to view,

  • In Teams mode - deleted users will automatically appear if they were part of a team and had contributed data to the chosen metrics in the view in the selected time period.

You can then save this view if you like, in order to check deleted user data easily. See this article to learn more about setting up a matrix report.

On the dashboard

In the same way Teams mode on the matrix operates, in Team and Company mode only, the dashboard will display target and performance data for deleted users that contributed data in the time period selected on the dashboard.

In missions

Because missions are a collaborative effort to work towards a goal, having deleted user data no longer contribute would feel quite bad! For this reason, missions retain deleted user data so they don't hinder the progress of the mission for the rest of the active users in the mission.

Other options for deleted user data

If you'd prefer some other alternatives to having a list of all your leavers on the platform to report on, there are other options. For instance, deleting a user means their data can't be viewed on slides, so one of the following options allow you to get around this:

Create a OneUp house account

One option is to create a house account on OneUp. This account would be designed to hold all of your leavers’ data, which can then easily be included in all types of reports and slides.

This option requires moving your deleted users' linked accounts to the house account, which is very easy to do! As another positive, the license for a OneUp account is often cheaper than one on your CRM (if you were to create a house account on your CRM instead).

Create a CRM house account

Another option is to create a house account on your CRM which will act as a hub for all future leavers’ data. CRM systems often have an option to accurately transfer data over from one user to another - speak to your CRM account manager if you’re interested. OneUp can then integrate directly with this house account , just as it can for any other user, and sync the data between your CRM and OneUp.

Much like the first option, the data can be included in any area of OneUp that your current consultants' data can. Negatives for this option include being unable to specify between different consultants’ data within the house account on OneUp (so you're not able to easily add/remove deleted user data as desired) - this all has to be done on your CRM instead. In addition, you may have to pay for a CRM license for your house account, on top of the OneUp license for the house account.
