Activities Directors and front office professionals can keep track of the students involved in activities by creating activities rosters. Once students are added to rosters, you can run lists to see all of the students involved in activities, keep track of who is eligible, list special commendations for students, and utilize messaging features. Plus, the option to import your rosters from a previous year will streamline the process and save you a ton of time.

To create your rosters and successfully manage student participation in each season's activities, head to Activities > Edit Activity Rosters.

Step One: Select an activity from the "Available Activities" box to begin adding students to that activity's roster.

Helpful Tip: Was your activity offered last year? Simply click the "Import Previous Year's Roster" button to to save time by loading all active students from the prior year's activity roster into the current year's activity roster.

Step Two: Enter a name in the "Find" field or select one or more names from the list of available students to add the student(s) to the activity roster.

Helpful Tip: Narrow your search to include only students in a specific grade or of a specific gender by selecting a grade from the "Grade" drop-down list and/or a gender from the "Gender" drop-down list to easily find the appropriate students for your roster.

Step Three: Click the "Add Student(s)" button to add the selected students to the activity roster.

Step Four: Click the "Edit" link next to a student's name to update eligibility status, add a commendation or associate a comment with the student.

Step Five: Place a checkmark in the "Is Eligible" checkbox to mark the student as academically or behaviorally eligible for the activity or remove the checkmark to mark the student as ineligible.

Helpful Tip: Need to mark a student as eligible/ineligible due to health reasons? Head to the Health > Health History > Edit Student Health History page.

Step Six (optional): Select an earned commendation from the available list in the "Commendation Name" box to award it to the selected student.

Helpful Tip: If you're not seeing the commendation you're looking for, navigate to Activities > Edit Special Commendations to add or edit special commendations on your list.

Step Seven: Enter any additional comments in the "Comment" box to provide helpful details about the student such as which parent to call in case of an emergency.

Step Eight: Click the "Update" link to save your edits or the "Cancel" link to discard them.

Helpful Tip: To remove a student from an activity roster due to an error or if the student quits the activity, click the "Delete" link next to the student's name.

Step Nine: Click the "Print" button to print the activity roster or the "Export" button to export the activity roster to a CSV file.
