Import student transfers

After receiving a student transfer file from a student's previous district, import the data to enter the new student into your district.

Good news, you have a new student coming to your school! Even better news, they are coming from another jmc school! After the previous district exported the student's data to a student transfer file, it's time for you to import all the data to enter the student into your school. You will have access to the student's information including contacts, transcripts, immunizations, health history, and activities.

To get started, log in to jmc Office and head to Attendance > Student > Student Transfer.

Step One: Choose the "Import Student" radio button in the "Action" box to begin importing the student.

  • "New Student": if the student has never before been enrolled in your district

  • "Existing Student": if the student has been previously enrolled in your district and is now returning.

Step Two: Select the "New Student" or "Existing Student" radio button to specify if the student is new to your district or if you are overwriting previous student information.

A few helpful tips

  • Overwrite and update an "Existing Student" with new student information if the student was previously enrolled in your school district by entering the student's name in the "Find" field.

  • Selected the wrong student? No problem! Click their name to clear the selection.

Step Three: Click the "Choose File" button to select and upload the student's transfer file from the prior district.

Helpful Tip: The following information will be imported:

  • Student Demographics: basic demographics such as name, legal name, grade, date of birth, gender, and race/ethnicity

  • Student Health: immunizations and Health History items

  • Student Primary Contacts: names, phone numbers, and email addresses of primary contacts

  • Student Activities: any extracurricular activity that is included on the student transcript

  • Student Transcripts: courses, grades, and credits from the transcript

  • Student Discipline History (optional): discipline infraction history including date/time and reason.

Fun Fact: All unique contacts associated with the student will be imported. (For example, if a student has a lunch contact that is different from the primary contact, the lunch contact will also be imported).

Step Four: Click the "Import Student Records" button to import the transferring student's information.

Step Five: Click the "OK" button to proceed with importing the transferring student or click the "Cancel" button to return to the page.

Step Six: Click the "Next" button to view the data that is included in the import.

Step Seven: Click the "Finish" button to complete the data import.
