Running a "For a Threshold" report for truancy in Iowa

Quickly identify students that have reached a 10%, 15% or 20% absence rate threshold with the "For a Threshold" Period Attendance report.

The "For a Threshold" report in the Period Attendance module in jmc Office helps identify students who have reached a state-defined absence rate threshold within a specified date range. Select the threshold and date range to generate a list of students whose period absences exceed the chosen threshold. This report enables your school to proactively address attendance concerns and maintain compliance with state truancy laws.

To run an absence rate threshold report in jmc Office, head to Period Attendance > Reports > For a Threshold.

Step One: Choose the appropriate radio button in the "Absence Rate Threshold" box to select the desired threshold for your report.

  • 0% : lists all students and their absence rates

  • 10% (Chronically Absent): identifies students considered chronically absent

  • 15% (Requires Engagement Meeting): flags students requiring an engagement meeting

  • 20% (Truant): identifies students considered truant

  • Custom Absence Rate: allows you to define a custom absence rate

Step Two: Select a date range from the "Day From" and "Day To" boxes to define the date range (typically a grading term) for your report.

Helpful Tip: Reference the grading terms for your school when defining the date range for your report by clicking the "View Term Dates" quick link.

Step Three: Select the appropriate radio button from the "Absence Reasons" box to define which absence reasons should appear on your report.

  • Exclude 'Exempt from Truancy' Reasons: a list of students meeting the specified absence rate threshold while excluding "Exempt from Truancy" reasons as defined on the "Edit Reasons and Cutoffs" page

  • All Absence Reasons (Early Warning): a list of students meeting the specified absence rate threshold including all absences regardless of exempt status, serving as an early warning for students on the verge of truancy

Step Four: Select a radio button in the "Sort By" box to organize the report:

  • Student: lists students alphabetically matching the selected absence threshold and reasons

  • Absence Rate DESC: sorts students from highest to lowest absence rate

Step Five (optional): Place a checkmark in the "Include Inactive Students" checkbox to include students marked as inactive in your report.

Step Six: Click the "Preview" button to generate a list of students meeting the specified absence rate threshold. The report will display the total number of periods they've been absent, their total enrolled periods, their absence rate, and the contact information for their primary contact(s).

Step Seven (optional): Click the "Export" button to save the report as an Excel file for further review or data sorting.

Helpful Tip: Need a clearer picture of a student's attendance history? Navigate to Period Attendance > Reports > For Student(s) to access detailed information about the periods absent and the reasons behind them, helping you address any concerns.

Step Eight: Click the "Print Summary" button to print your report or save it as a PDF, or click the "Cancel Summary" button to return to the previous page.
