How To: Create a New Task (Web)

Complete Step-by-Step Guide

  1. Navigate to OnTrack, log in, select the Event you will be working on, and then select the 'Event Tasks' module.

  2. In the Tasks, you'll find two action buttons, New List

    1. and Clone from a current or previous Event.

  3. With the additional option to Upload Tasks using the upload feature.

  4. You can start by creating a Task by clicking on the 'Select Task List' dropdown and select the list that you'd like this new task to be located in.

    If you don't choose a list OR choose 'Private List', your created task will live in the 'Private' list, which is private to each user

  5. Next, name your task by typing in the 'New Task Name' free-text area.

  6. The last MANDATORY field is to set a Due Date with the 'Task Dates' Button.

  7. After clicking 'Task Dates' a popup will occur that will give you the option to choose a Date and Time.

If you only select 1 date (Above) the date/time chosen will be the DUE Date. If you choose 2 dates (Below), the first date will be the Start Date, with the last date/time will be the Due Date.

After all MANDATORY fields have been entered, the 'Save' button on the right will turn blue, allowing you to save your task.

Additional Non-Mandatory Fields

  1. If you wish to add more Information to your Task, assign it to a single user or Multiple Division(s).

  2. You can also make the task 'Recurring' or to be repeated by clicking on the far right icon.

    1. Custom Selection allows you to select specific days, creating identical tasks for those dates with assigned start and due times.

    2. Range Selection allows you to select all dates between two selected dates, creating identical tasks for those dates with assigned start and due times.

Post Task Creation

  1. Flagging helps to focus additional attention on specific tasks.

  2. Pin a task to keep it at the top of your list.

  3. Additional actions can be completed after your Task has been created.

    1. Attach Files (PNG/JPEG/PDF)

    2. Create Sub Tasks

    3. Assign a Single User​

    4. Update the Task Status

    5. Change or Update the Division(s)

These are additional things you can do post Task creation within the 'Task Details' window. To open, simply click the 'Task Name'.

  1. You can 'Edit Task Name' and Add 'Task Description'. Clicking outside of the free-text area finalizes and saves your input

  2. Add Categories. Another way to 'Tag' your tasks, adding additional ways to organize tasks anyway you choose

  3. You also can change assignee and division as well as the Start/End Time & Date.

  4. Additionally, you can add Sub Tasks to your Tasks as well as add Files/Attachments (PNG/JPEG/PDF)

  5. Lastly, by clicking on the arrow on the right side, you have the ability to add comments and view the change log of the task.

Using the Action Button you can:

  • Add the Task to a Different List

  • Make it a Private Task

  • View, Edit, or Delete the Task Entirely
