How To Use the Health Bar (Also Known As the Priority Bar)

By now you've probably seen the health bar in the top right corner of any property that's divided in to red, orange, and/or blue. The red represents anything due today, orange for anything due tomorrow, and blue for anything due in two days which gives you a heads up on what your responsibilities are for the next few days.

This is also referred to as the priority bar and includes anything that you have set as a high (red), medium (orange), or low (blue) priority throughout the transaction.

Using the Health Bar/Priority Bar

Go to the property you want to work on and click the health bar, or you can click on the pill shaped bar anywhere throughout your account. This will open a new panel with all of your priorities for the day. You really want to clear out any of the red priorities before the end of the day. We like to say, "No red before bed."

You don't have to worry about manually changing the dates on triggers and tasks. The system will automatically update the heath bar based on the time frame or actions inside the transaction.

Top Priorities - Triggers, Tasks, Documents, Contacts, Fields & Notes

The first section you can view is Top Priorities. These are all of the triggers, tasks, documents, contacts, fields, and notes that have passed all conditional checks, have a valid date and time, and have a valid priority status. You can scroll down the list to see each section.

Triggers

Triggers are the first part of the Top Priorities. Below are the different options that show you all of the triggers that are in-queue, in-process, failed, inactive, fired, or from an intake form or when an intake form is approved. Let's go over each one.

  • In-Queue - These are all of the triggers that have passed all conditional checks, have a valid date and time, and have a valid priority status.

  • In-Process - These triggers have failed one or more conditional checks and/or they do not have a valid date.

  • Failed - These triggers failed to send properly due to conditional errors or issues with the asset (email, text, etc).

  • Inactive - These triggers have been marked as inactive so they will not be processed.

  • Fired - These are successfully fired triggers, but do not include any intake form triggers.

  • Intake Submission - Once the intake form has been submitted, this section will show any intake form triggers that have either successfully fired off or failed.

  • Intake Approval - After the intake form has been submitted, the Transaction Coordinator will approve the intake form. Any triggers that are set to fire off once the form is approved will show here.

You can also see the details of the trigger by clicking on the drop down triangle next to Options on the trigger card. This allows a quick glance at any conditions, who it's assigned to, and any tags on the trigger.

You can use Select Trigger to perform mass actions such as changing when the triggers are due, changing the triggers to a scheduled email or text, deactivating the triggers, and deleting the triggers.

The green toggle button will move the trigger to inactive which is helpful if you don't need the trigger.

The difference between Edit and Inspect is that if you are just wanting to view the trigger asset (email, text, etc), you will use Inspect. If you want to make some changes to the actual asset, you will use Edit instead.

After that, you can send the email or text using the Send option and you can delete the trigger by clicking on the trash icon.

Tasks

Much like the Triggers section, the Tasks section has the tasks listed based on when the task is due. You can edit all of the tasks by clicking on Edit Tasks, or you can view an individual task by clicking on its date or title.

Once you have completed the task, you can click on the box with a checkmark in it to remove it from the list. If there is a condition on the task, the condition must be met in order to complete the task.

If there is a trigger on the task, it will show to the right of the task title, and if there are any notes on the task, the bubble next to the trigger symbol will show you the number of notes.

Documents

You can view all of the priority documents by clicking Edit Documents or you can edit them individually by clicking on the title of the document.

To the right of the document title, you will see a bubble that will show you the number of notes on the document.

Contacts

If you need to view all of your priority contacts, click on Edit Contacts. You can change the contact role for any of the contacts in the list by clicking on the current contact role.

Fields

You can view all of the fields by clicking Edit Fields, or you can click on the blue text next to any of the field titles to change the value.

Notes

Last are the Notes. You can view all of the notes by clicking on Edit Notes. This will open a side panel to the right where you will be able to make any changes to the notes.
