How To Manage File Roles

There might be times when you need to make some adjustments to your file roles, whether that be adding, editing, sorting, or deleting them. This article will go over all four options so you can keep your account organized.

Adding File Roles

Before you add a new file role, check to see if the role already exists in your account. If it's already there, but you need to make changes to it, you can always edit the file role instead of creating a new one.

If what you need doesn't exist already, go ahead and create a new file role. To start, head over to the hammer icon and click on Filters.

On the left side, you will see a list of filter options you can choose from. Select File Roles which will take you to a new page where you can start adding new file roles.

Type in the name of the file role you want to create and then click on the Add button. Your new file role will appear in the list on the right side.

Editing File Roles

It's important to look through your file roles before you start adding new ones since you may find there is already one in your account that can be modified to what you need.

This is especially helpful if the file role is currently being used. If you delete the file role rather than edit it, you would have to go back through your account and edit every template, intake form, etc. that had that file role. If you edit it instead, it will automatically update the file role name throughout your account.

To edit a file role, make sure you are on the File Roles page. Find the one you want to edit and click on it. The file role will change from a white background to a purple one.

Enter in the name you want to change it to, and hit the Return/Enter key on your keyboard. If you don't hit that key, it will not save your changes.

Sorting File Roles

You can sort your file roles by clicking on the six dots to the left of the file role name and dragging the role in to the position you need. This sorts the file roles on the File Roles page only.

Deleting File Roles

To the right of every file role is a trash icon that you can click on to delete the role.

A pop-up will appear where you will need to type in the word delete before clicking on the DELETE button to finalize the action.

Very Important:

Deleting file roles can cause a lot of issues in your account since it will remove the role throughout all of the templates, intake forms, documents, emails, etc. using that role. Be sure you are deleting the correct one as this action cannot be undone.
