The Organization section allows you to invite new team members and/or agents so you can keep everyone in the loop with where the transaction is at. You can manage what each team member has access to using permissions and teams and provide access to intake forms and contacts for your agents. This will ensure that all party members have the correct access and permissions to their respective transactions.

Below is a brief summary of what you can do from the Organization section.

  • Manage your team members

    • Impersonate team members - This tool allows you to impersonate a team member and have access to their transactions, tasks, and the ability to send out triggers on their behalf.

    • Edit team member signatures - In some cases, you may have multiple signatures that need to be edited or added in for team members depending on whose transaction they are working on.

    • Change team members' text phone numbers - You can change the texting phone number for your team members. This can be helpful if you have someone leave your team but you still want to use the phone number.

    • Update team member permissions - You can set several permissions for your team members.

  • Create a team or teams

    • Assigning team members to different teams can restrict or make available different transactions in your system. For example, if you have a listing transaction coordinator who only needs access to view the listings assigned to them, you can create a specific team called Listing Team and have that specific team member on that team. This will make it so that when you need to assign the listing transaction, only the members on the Listing Team will have access.

  • Manage your agent portal users

    • Permissions - Currently you have the ability to give access to all the contacts within your Open To Close database or restrict the view to only the contacts that the agent adds or imports into Open To Close when they are filling out an intake form.

    • User information - After inviting your agents, you have the ability to review the agent's user information and assign a Brokerage to them.

    • Intake forms access - You can add, remove, and update what intake forms the agent needs access to as well as set which team and team member the transaction needs to be assigned to once an intake form has been submitted.

  • Add or edit a Brokerage

    • This feature allows you to add/remove/update Brokerage names as well as customize colors and personal logos.

  • Manage portal role permissions

    • You have the ability to create very custom client portal roles. For example, you may want to invite your buyers or sellers to see specific details regarding their transaction. You can also use the portal roles to give access to other party members like Lenders, Broker Owners, and more!
