📋 Close an Openstage account

Learn what happens when an Openstage account closes, how to download fan data, and what changes affect fan subscriptions, pre-saves, and fan engagement workflows.

Closing an Openstage account ends access to the platform and archives the account after the current billing period ends. Before closing the account, artists should download fan data, review active fan subscriptions, and understand how account closure affects ongoing fan engagement.

Your contactable fans remain valuable even after leaving the platform. Artists should always maintain a long-term direct-to-fan strategy outside release cycles.


Understand the account closure timeline

If Openstage receives the cancellation request before the next billing date, the subscription remains active until the end of the current billing period.

Artists can continue accessing the account during this period to:

  • download fan data

  • export audiences

  • review campaign activity

  • prepare off-platform migration plans

Once the billing period ends, Openstage archives the account.


Understand what happens to fan subscriptions

Closing the account does not end any active fan subscriptions connected to the account.

This means:

  • recurring fan subscription payments do not stop

  • fan subscription access continues

  • subscription-based revenue continues to process

Artists running fan memberships or recurring fan experiences should communicate any changes clearly to subscribers before closing the account.

🟢 Top tip: Export fan data before closing the account so subscription fans can still receive future updates through another platform or mailing workflow.


Download fan data

Artists can download fan data directly from the All Fans section.

  1. Go to All Fans (list view)

  2. Click Download all fans.

  3. Export the .csv file.

The exported .csv file includes the fan data associated with the account.

Artists can also export specific audience segments separately using Audience Builder.

  1. Build the audience.

  2. Save the audience.

  3. Download the filtered audience export.

🟡 Please note: Review ‘How data control works at Openstage’ before exporting or migrating fan data to another platform. It is highly recommended that you action any exports in plenty of time ahead of your account being archived.


Understand how account closure affects Pre-saves

Pre-saves connected through Openstage remain tied to the Openstage account that collected them.

Openstage cannot transfer:

  • forever pre-saves

  • automated library delivery permissions

Artists should plan future release workflows before closing the account.

🟡 Please note: Pre-saves connected through Openstage are non-transferable and cannot move to another platform or provider.


Maintain fan engagement outside campaign cycles

Fan engagement works best as an ongoing strategy, not just a release-cycle activity.

New fans continue joining your world between campaigns. Artists who maintain consistent communication usually build stronger long-term fan relationships than artists who only activate fans during release moments.
