Openstage automatically generates default fan terms and a privacy policy when you create an account. Artists can continue using the default documents, replace them with custom documents, or link to externally hosted versions.
The Compliance section also allows artists to manage fan data deletion requests and maintain GDPR compliance.
🟡 Please note: Artists are the data controller for fan data collected through Openstage. Responding to fan data requests remains the artist's responsibility.
Configure fan terms and privacy policies
Open the Compliance settings
Go to Settings > Compliance.
Open the Documents section.
The Documents section controls the legal information displayed to fans when they join your world. It's important you set these before running any fan-facing campaigns where you are collecting new fan data.
Add compliance details
Before configuring fan terms and privacy policies, add the required compliance information.
Enter the legal or artist name.
Enter the fan data request email address.
Select the country or jurisdiction.
Save the changes.
Openstage uses these details to populate the default compliance templates. You can view or download these templates after completing your compliance details fields.
Configure fan terms of service
Artists can choose how fan terms are displayed.
Open Fan Terms of Service.
Select one of the following options:
Default template
Custom URL
Custom PDF
Save the changes.
⚪ Note: Only PDF files are supported for uploaded documents.
Configure the fan privacy policy
Artists can also customize the privacy policy fans see when joining their world.
Open Fan Privacy Policy.
Select one of the following options:
Default template
Custom URL
Custom PDF
Save the changes.
🟢 Top tip: If you only need to make small changes, download the default PDF template, edit the document, and upload the updated version.
Save & Publish when you have completed the above steps. All fan-facing pages will now use your selected Fan Terms and Fan Privacy Policy.
Manage fan data deletion requests
Artists can process fan data deletion requests directly from the Compliance section. Under GDPR, artists must respond to valid deletion requests within 30 days.
Delete fan data
Go to Settings > Compliance.
Click Fan Data Requests.
Enter the fan's email address.
Confirm the email address is correct.
Click Delete Data.
Openstage automatically sends an email notification to the fan confirming the deletion request has been completed.
🟡 Please note: Deleting fan data permanently removes the fan's information from the platform. Always double check the email address before processing a deletion request.
What to do when a fan requests confirmation of data deletion
If a fan follows up to double check that their information has been deleted, use the same tool with the email ID they provided and you'll see a record of the date the data was deleted.
