Exporting Your Data πŸ’Ύ

You can export your data anytime you need a copy for backup, analysis, or sharing. The easiest way to do this is by going directly to the Reports Menu.


πŸ” Data Grid Reports

For a complete backup of all your data, you'll go to the Reports Menu. You are going to use four main reports, to get a complete download of your information.

Key Reports for Data Export:

  • Completed Checklists: This report provides the top-level information about all of your finalized checklists, including their schedule status.

  • Scheduled Checklists: This report focuses specifically on data related to checklists that are currently scheduled.

  • Question Responses: This report displays all of your questions and the corresponding responses across your data.

  • Attachment Responses Report: This report contains data for all of your photo question responses. When you download this report, you'll receive a CSV file with URLs that link directly to all of your uploaded photos.


⬇️ How to Download a Report

  1. Navigate to the Reports Menu.

  2. Select the desired report (e.g., Question Responses).

  3. Filter the data as needed (e.g., by date range, user, or location).

  4. Once filtered, click the Download Button on the report screen.

This action will generate a CSV (Comma Separated Values) file of the report, which you can open and view in any spreadsheet program (like Microsoft Excel or Google Sheets).


πŸ–¨οΈ Printing or Sharing Checklists

While the data grid reports are the best method for a data backup, you can also manually go into your list of Completed Checklists to print or share individual checklist records. For a simple and complete data backup, however, you should always use the data grid reports.
