When if comes to creating user passwords the OpsAnalitica Platform has a couple of Different Options.
The question you need to answer for yourself is: Will this user be able to receive the generate password email notification as soon as I create the account?
Generate Password Checked:
Email notification is sent immediately upon user creation. Should be received within seconds.
This email has a link for the end user to click and set password.
Sometimes this email can be flagged and thrown into spam or junk folders.
This is best used when you have told the person you are creating their account and to look out for the email notification.
Generate Password Unchecked:
By selecting this option the system will not immediately email the new user with a set your password email.
Instead, you will set the users password and communicate the accounts creation manually.
This is best used when you are creating accounts ahead of time or you want to manage when the users get their login info. A lot of people like to send some training and additional information to the end users with their account credentials.
When you uncheck the Generate Password you have to do the following:
Determine if the person is allowed to change their password themselves by checking or unchecking the Can Change Password button.
In some cases, with store accounts, management likes to set the password and not let the end users change it.
You have to set the password, it must be at least 8 characters, there are no other requirements.
You can check Must Change Password or leave it unchecked.
If Must Change Password is Checked, when the new user enters their temporary password that you have set, they will be prompted to enter their own password.
If it is unchecked the end user will not be prompted to change their password.
As you can see how you communicate the password for the new account is up to you and your preferences. Generate Password is great if the person is expecting to get the email and will login shortly thereafeter.
Unchecking Generate Password gives you more options on communicating with the end user on their new password and if you want them to be able to change it etc.
As a general rule when we are setting up new organizations we prefer to control the communication of those accounts and passwords to the teams by just bulk emailing the end users and setting a temporary password.
