One note, whether you create a task from Inbox or the Completed Report the fields are the same. The only difference is that when you create a task from the Completed Report, you will see the question and response attached to the Task.

Task Template Selector

  • The Task Template Selector allows you to search and select a Task Template.

  • When a template is selected the task fields will be auto-filled in with the template data.

  • Task templates make it quick and easy to create common tasks.

Description

  • Required Field

  • This is where you describe what you want the end user to do.

  • Be clear and concise.

  • A task should be singular. Don't put a list in there unless you don't want everything to get done.

Add Attachments

  • You can attach photos or documents here.

  • These attachments should help the end user understand what the issue is/help them complete the task.

Location

  • Required Field

  • Similar to selecting a checklist, the location selected will be the closest to you when you create the task or the location you are assigned.

  • You can change to another location that you have access to by clicking on the drop-down menu.

Status

  • This is automatically set as the task changes status.

  • You don't need to change this setting manually.

Priority

  • You can choose to adjust the Priority of the task to communicate the urgency to your team.

  • Nothing automatically happens to task based on this priority.

Due

  • This allows you to set a Due Date and Time for when you want the task completed.

  • If the Due Date and Time are missed the task's status goes to late and notifications are sent out.

  • By adding a Due Date you are adding a layer of accountability to the task.

  • This is not required.

Tags

  • You can add tags to tasks to make them easier to filter and group.

  • You might tag a task with Maintenance if it goes to the Maintenance Department.

Require Comment & Require Photo

  • If you check one or both of these boxes, the person closing the task will have to attach a comment or photo to the Task's Comments before they will be able to complete it.

  • The idea is that you might require a photo or a comment explaining how the task was handled.

  • If you don't check these boxes the person completing the task will still be able to add comments and photos but they won't be required to close the task.

Assignees

  • This is who is responsible for completing the task.

  • You can select multiple people and the first person to complete the task closes it for everybody.

  • You can select multiple people and check Must Complete, by checking Must Complete for Multiple People, you are requiring that those people each complete the task before it can be closed.

    • An example might be you create a task to Update the Phone Sheet for the team. You assign the task to 10 people and you click Must Complete on all of them. Then the task will only be closed when the last person completes it.

  • You can assign tasks to Individual Users, User Filters, or people who aren't users in the system.
