Automated Tasks are follow-up tasks that are automatically created when a question’s response is tagged with the Unsatisfactory Tag. These tasks require the proper configuration of the checklist and the tasks are created when the checklist is submitted.
The concept behind these tasks is that they add another follow-up action to ensure that users are being notified and closing the loop on issues. Because Automated tasks are self-documented they are perfect for risk management activities.
To Create an Automated Task:
You need to create a Task Template, you do this from the Admin - Tasks Section.
You apply the Task Template to the Question on the checklist.
You can have multiple automated tasks on an individual question. For instance, you could create a task that had a manager at a location follow up on an issue and simultaneously have a maintenance person get a task to fix an issue.
These tasks will be a super powerful addition to the platform but I caution you that they shouldn’t replace getting comments and photos in real-time on every question. Tasks are more work for end users than just leaving a comment or a photo when they are completing the checklist.
