Nearly every connection problem is one of a handful of things. Find your symptom below.
All your connections are listed in Orphex under Settings → AI assistants (MCP), with whether each one is working and when it was set up.
It failed as soon as you added it
Why: you left the Client ID field empty. The assistant labels it as optional, which is exactly why this is the most common problem.
Fix: remove the connector, add it again, and this time paste the Client ID from Orphex. Copy it even though the assistant says you do not have to.
The assistant says it has no Orphex tools
Why: the connector is set up, but it is not switched on in that particular chat. Adding it once does not switch it on everywhere.
Fix: in that conversation, open the connectors menu and turn Orphex on.
It answers questions but has no way to change anything
Why: whether you can make changes is decided at the moment you sign in. If you connected before changes were available to you, your connection stays read-only afterwards.
Fix: sign in to Orphex from the assistant again with the same account. It adds the missing part to your existing connection rather than making a second one, and your workspaces stay as they were.
To check which one you have, ask the assistant what Orphex tools it has. If it can make changes, it lists tools for proposing and confirming them.
If signing in again does not help, the blocker is one of three things: your Orphex plan does not include changes, the switch is off for that workspace, or you have view-only access. Ask what plan you are on and it tells you which.
It says the sign-in link expired
Why: the page sat open too long, or you reopened an old link.
Fix: start again from the assistant so Orphex hands out a fresh link.
It says you need access to every workspace you picked
Why: one of the workspaces you selected is not one you have access to. Rather than connecting the others and quietly skipping that one, Orphex stops.
Fix: deselect it, or ask whoever manages your Orphex account to give you access, then try again.
It says you are already connected
Why: your sign-in is already being used for a live connection somewhere else.
Fix: use Change account on the existing connection, or remove it and start fresh.
It answers about the wrong workspace
Why: you did not say which workspace you meant, so it used your main one. Your main workspace is whichever you picked first when you connected, and it is marked PRIMARY in Orphex.
Fix: name the workspace in your question. This matters most when you are asking for a change rather than a number.
The main workspace is fixed once you connect. If you remove it, one of the others takes over.
You approved something and nothing happened
Why: the 15 minutes you have to agree to a preview passed.
Fix: ask your assistant for a fresh confirmation. The preview itself stays available for 24 hours, so you do not describe the change again. After 24 hours the request expires and you start over.
Orphex refused a change
Why: the change breaks one of the safety limits. Usually a budget move of more than 50%, or a spending cap at or below what has already been spent.
Fix: do it in smaller steps, or set a higher cap. Asking again the same way gets the same refusal, and that is the answer rather than a fault.
The connection is not showing as working
Why: the sign-in was never finished, or access was removed afterwards.
Fix: remove the connection and set it up again.
Ending a connection
In Orphex, go to Settings → AI assistants (MCP) and remove the connection. Access stops immediately.
⚠️ Removing a connection is not reversible. To use the assistant with Orphex again you set it up from scratch, including pasting the values back in.
Removing it in Orphex does not remove the entry in ChatGPT or Claude. Tidy that up in the assistant's own settings.
When someone leaves your company, remove them in Orphex under Settings → Permissions. That cuts off their access including anything they could do through an assistant.
What this does not do
Orphex does not let you edit a connector after adding it. If a value changes, remove it and add it again.
Orphex does not bring back a removed connection. You set it up fresh.
Orphex does not let you change which workspace is your main one after connecting.
Orphex does not read a workspace you did not add to the connection, even if you have access to it.
Orphex does not offer Microsoft Copilot as a do-it-yourself setup. Our team sets that one up with you.
Common questions
Why did it stop working when I lost access to a workspace?
Yes, that is expected. Your access is checked every time you ask, so a workspace you lose access to stops answering the same day.
Can I connect more than one workspace?
Yes, up to 50, as long as they are all under the same Orphex account.
Does removing a connection delete my data?
No. It stops the assistant seeing it.
Can I reconnect later?
Yes, by setting it up again from scratch.
