Edlio Accounting Overview

Learn the core architecture, navigation tabs, and fund accounting workflows in the modern Edlio Accounting dashboard.

Welcome to Edlio Accounting. Designed specifically for school bookkeepers, treasurers, and district financial administrators, Edlio Accounting provides a unified, compliant fund accounting system to manage school activity funds, student fee receipts, vendor disbursements, and bank reconciliations.

💡 Best-Practice Adoption Tip: Establish a daily operational rhythm. Check the Dashboard at the beginning of each day to monitor Pending Approvals and Undeposited Receipts before creating new receipts or vendor checks.

The Accounting Dashboard & Navigation

The modern Accounting interface features a streamlined top horizontal navigation bar organized into seven core operational modules:

  • Dashboard: A live command center showing real-time cash balances across bank accounts, items needing review, pending approvals, undeposited receipts, and month-to-date activity.

  • Receipts: Record incoming cash, check, and electronic payments, group receipts into bank deposits, and manage payer contacts.

  • Disbursements: Process vendor invoices, issue checks, track automated clearing house (ACH) payment files, and maintain approved vendor records.

  • Transfers: Execute compliant fund-to-fund reallocations and bank-to-bank transfers with mandatory reason tracking and balanced debits/credits.

  • Reconciliation: Match internal general ledger records against monthly bank statements, log adjustments, and maintain clean audit trails.

  • Reports: Generate General Ledger details, Chart of Accounts rosters, Monthly Activity summaries, and trial balances.

  • Settings: Configure object codes, fund accounts, sub-accounts, approval rules, and notification preferences.

Key Principles of School Fund Accounting

Unlike commercial accounting systems, school financial management operates under strict Fund Accounting rules:

  1. Restricted Activity Funds: Every receipt and disbursement must be tied to a designated fund account (e.g., Athletics, Drama Club, Senior Class) ensuring student-raised funds are spent exclusively for their intended educational purpose.

  2. Balanced Fund Transfers: Moving money between internal funds does not alter total school cash—it transfers balance obligations while maintaining equal debits and credits.

  3. Audit-Ready Documentation: Every receipt, vendor disbursement, and bank deposit produces an immutable document number for annual district auditing.
