đĄ Best-Practice Adoption Tip: Always complete bank reconciliations within five business days of receiving your monthly bank statement. Attach the official PDF statement directly using the Bank Statement file upload button so district auditors can inspect supporting documentation without requesting paper files.
Step-by-Step Monthly Reconciliation Workflow
Select Bank Account & Period: In the top Statement card, select the checking or money market account being balanced and choose the active statement month.
Input Statement Ending Balance: Enter the exact ending cash balance printed on your official bank statement.
Attach PDF Statement: Click Attach PDF to upload a digital copy of the statement (supporting files up to 10 MB).
Clear Transactions: In the Transactions panel, click through the category tabs (Payments, Deposits, Adjustments, Transfers). Compare your bank statement against the ledger rows and select the checkbox next to each item that cleared the bank during the statement period.
Record Bank Adjustments: If your bank statement lists items not yet in the general ledger (such as monthly bank service fees, earned interest, or merchant credit card processing fees), click the Bank Adjustment button at the top right to record the adjustment on the spot.
Verify Balance to $0.00: Observe the Balance Summary card on the right. Your Difference must reach exactly $0.00 before finalizing.
Post Reconciliation: Once balanced to zero, click Finalize Reconciliation to lock the period and generate the formal reconciliation audit report.
