Deposits: Taking Money to the Bank

Group posted receipts into a bank deposit with a printable deposit record.

Deposits is where you group posted receipts together and create a deposit to take to the bank. After you've recorded receipts, you use Deposits to mark which receipts are being deposited together.

Think of it like preparing a bank deposit slip: you select the receipts (checks and cash) you're bringing to the bank, and the system creates a printable deposit record with a deposit number.

Creating a deposit

To create a deposit:

  • Go to Deposits → New Deposit.

  • Select the bank account the money is being deposited into. (Defaults to the main checking account and typically shouldn’t be changed).

  • Choose the deposit date (defaults to current date).

  • Select receipts to include: The system shows all posted, undeposited receipts. You can mark all to deposit everything at once, or select individual receipts.

  • Verify the balance: The system shows that the selected receipts balance correctly. You can deposit all receipts at once or just one or two if you're depositing at different times.

  • Click Create Deposit to save it.

Deposit details

Each deposit record includes:

  • Deposit number — a unique identifier for the deposit.

  • Date — when the deposit was created.

  • Bank account — which account the money went into.

  • Total amount — the sum of all included receipts.

  • Breakdown by payment type — how much was cash, check, and online/credit card.

Once a receipt is included in a deposit, its status changes from Posted to Deposited, and the associated deposit number appears on the receipt for easy reference.

Printing a deposit slip

You can print a deposit slip from the deposit record. The printed slip shows the deposit number, date, bank account, total amount, and the breakdown of cash, check, and online totals.

Partial deposits: You don't have to deposit all receipts at once. If you need to deposit just one or two receipts at a time, you can select only those. The remaining receipts stay as undeposited and can be deposited later.
