Users and Permissions

Current role structure for Bookkeeper, Principal, CFO, and Superintendent access (coming soon).

Users and Permissions is where you manage who can access Edlio Accounting and what they can do. This area is being actively developed and will be fully implemented in a future update.

> Note: Currently, user accounts are created on the back end by Edlio staff. Self-service user creation from within the accounting dashboard is not yet available. The information below describes the planned role structure.

Roles

Edlio Accounting uses a simplified role hierarchy:

| Role | What they can do |

| Bookkeeper | Post transactions, view reports, manage funds |

| Principal | Approve transactions, view reports, manage funds |

| CFO | Approve transactions, view reports, manage funds, manage settings |

Previous systems had more complex hierarchy with additional levels above principal. The new system has been streamlined to these three core roles.

Who can create users

User creation is expected to be available at the principal level or above. The "principal" role is not limited to the actual principal of a school — it represents a permission level that can be assigned to multiple people in the system.

How users log in

Users will eventually log in through the standard Edlio login flow:

  • Sign in to your Edlio account

  • Click the Pay (or accounting) icon

  • Select your school

  • Access the accounting dashboard for that school

Currently, the login flow is still being finalized and may not reflect the end-state experience.

Accessing the accounting dashboard

Edlio Accounting currently lives within the Pay dashboard:

  • Navigate to the Pay dashboard

  • Click on Edlio Accounting

  • This takes you to the accounting dashboard

> Note: The product team is considering making Accounting its own top-level group in the dashboard rather than nesting it under Pay. This may change in a future update.
