đĄ Cashiering Overview: Teachers and sponsors use the Receipt Entry screen to record in-person student transactions, collect school fees, and issue digital or printed receipts. Staff can combine student obligations and store items on a single receipt.
Navigating to Receipt Entry
To begin cashiering in OTR:
Log into your district's Edlio Payments Management Portal.
Select your assigned school from the school selector dropdown.
Navigate to Transactions in the top navigation bar and select OTR - Receipt Entry (or Teacher Receipting â New).
Step 1: Selecting the Payor or Student Profile
Before items can be added to the shopping cart, you must establish who is making the purchase:
Student Lookup: Search by student first name, last name, or Student ID number. Selecting a verified student automatically checks for outstanding obligations linked to their record.
Employee Lookup: Look up school or district staff profiles for faculty-specific items.
No Student ID Required: Use this option when collecting payments from parents, visitors, or students for general store merchandise, concessions, or public event admissions where no student record is needed.
Step 2: Adding Items and Obligations to the Cart
Once a profile is selected, you can add products to the transaction queue:
Outstanding Student Obligations: If the selected student owes fees (such as course materials, damaged textbooks, or athletic dues), they appear in a prominent red notification box at the top of the screen.
Click the green + icon next to a single obligation to add it to the cart.
Click +ALL to load all outstanding obligations into the current transaction.
Catalog Products & Activities: Browse the active school store catalog. Click the green + icon next to any product to add it to the cart. For variable-priced items (such as donations or field trip deposits), enter the custom amount.
Combining Items: You can freely combine existing obligations and regular product purchases on the exact same receipt.
Purchase Notes: Enter any relevant notes or student comments (such as t-shirt size or parent contact name) in the description fields.
Step 3: Selecting the Payment Method and Checking Out
OTR supports three distinct payment tender options:
Cash: Enter the Payor Name and the exact cash amount collected.
Check: Enter the Payor Name, the physical Check Number, and the check amount. Keep the physical paper check secured in your daily cash box.
Credit / Debit Card: Credit card payments can be captured in two ways:
Swipe: Swipe the magnetic stripe through an attached USB card reader to auto-populate cardholder data.
Manual Key Entry: Manually enter the 16-digit card number, expiration date (MM/YY), cardholder name, and 3-digit CVV security code.
â ď¸ Split Tender Rules: Split payments are supported between Cash and Check only. You cannot split a single transaction between a credit card and another tender type.
Step 4: Posting the Receipt and Resetting
After verifying that the payment tender matches the cart total:
Click Proceed / Post Receipt. The system processes the payment and generates an official, numbered receipt.
Print or Email:
Click Print to generate a paper receipt on a connected local printer.
Enter one or more email addresses separated by commas to send instant digital receipts directly to the parent or guardian.
Clear Screen: Always click Clear Screen before serving the next student to clear student profile data, shopping cart items, and payment fields.
