Online Teacher Receipting (OTR) Overview and Setup Guide

Learn how Edlio Pay Online Teacher Receipting (OTR) enables teachers and staff to collect in-person cash, check, and card payments on campus.

💡 Point-of-Sale (POS) for Campus Staff: Online Teacher Receipting (OTR)—also referred to in some school districts as Online Student Receipting (OSR)—is an in-person cashiering module built directly on top of Edlio Payments (OSP). It allows teachers, club sponsors, and office staff to accept cash, check, and card payments on campus without sending families to an administrative cashier window.

What is Online Teacher Receipting (OTR)?

Online Teacher Receipting (OTR) extends the power of your online school store directly to the classroom, cafeteria, athletic gate, or front office. Rather than relying on paper envelopes and hand-written receipt books, staff members log into the web-based Management Portal from any standard browser on a computer, laptop, or tablet to record transactions instantly.

All sales and receipting data logged in OTR flow directly into the school's central Edlio Payments financial reports, ensuring complete visibility for bookkeepers and financial auditors.

Key Capabilities of OTR

  • Universal in-person payment collection: Accept cash, paper checks, or credit cards on campus.

  • Integrated student obligations: View and collect outstanding student fees (such as lost textbooks, lab fees, or athletic uniforms) on the same transaction as standard products.

  • Automated student roster lookup: Look up students by name or Student ID directly via your district's Student Information System (SIS) integration.

  • Digital and printed receipts: Immediately print paper receipts on standard printers or email digital confirmation receipts to multiple parent and student email addresses.

  • Segregated user permissions: Individual teachers manage only their own daily queues, while school bookkeepers retain school-wide auditing and oversight authority.

  • Structured daily reconciliation: Enforces strict end-of-day cash and check deposit balancing before funds are brought to the school bookkeeper.

Hardware and System Requirements

Because OTR is a responsive web application hosted inside the secure Edlio Payments Management Portal, no software installation is required:

  • Computer or Tablet: Any desktop, laptop, or tablet with an updated modern web browser (Google Chrome, Mozilla Firefox, Microsoft Edge, or Apple Safari).

  • Internet Connection: Reliable campus Wi-Fi or wired network access.

  • Optional Magnetic Stripe Reader: A standard USB or wireless magnetic stripe card reader can be connected to swipe credit cards directly into the payment screen, eliminating manual key entry.

  • Receipt Printer (Optional): Any connected office printer or POS thermal receipt printer capable of printing standard browser receipts.

Staff Roles and Access in OTR

User access in OTR is divided into two distinct operational tiers:

  • Teachers and Activity Sponsors: Have access to `Transactions → Receipt Entry` to create receipts for their assigned school, and `Transactions → Teacher Receipting Deposit` to batch their own daily cash and check intake. Teachers can view other teachers' receipt entries for collaboration, but can only manage and deposit their own intake.

  • School Bookkeepers and Financial Administrators: Have comprehensive school-wide oversight. Bookkeepers can view all open receipts across all staff members, execute centralized Bookkeeper Deposits, void open entries, process credit card refunds, and generate school-wide audit reports.

Configuring Products for OTR Sales

All items sold through OTR are created and configured in the main Edlio Payments catalog under `Transactions → OSP Products`. To optimize an item for in-person campus sales, administrators configure several key product settings:

  • OTR Use Only: Check this box if the item should only be sold in person by teachers and hidden completely from the public online school store website.

  • No Student ID Required: Enable this option for generic campus sales (such as concession snacks, event tickets, or spirit gear) where linking a specific student profile is unnecessary.

  • Student Restrictions: Restrict purchases by grade level or GPA (populated via SIS data) to prevent unauthorized sales.

  • Max Units Allowed Per Student: Cap the quantity that a single student may purchase across all in-person and online channels.

  • Event Code: Attach a financial event code to track profit and loss metrics for specific campus clubs or fundraisers.
