Online School Care (OSC) Overview and Program Setup

Comprehensive guide to setting up childcare, before and after-school programs, and student fee rosters in Edlio Online School Care (OSC).

Online School Care (OSC) is a dedicated childcare and student enrichment management module within Edlio Pay. Designed specifically for before-school care, after-school care, and extended-day programs, OSC handles recurring roster-based fee billing, attendance profiles, and parent payment collection.

Key Capabilities of OSC

  • Student Roster Management: Maintain individual childcare student profiles linked to unique student IDs.

  • Custom Fee Structuring: Create recurring weekly, monthly, or flat-rate childcare fees and assign them to specific grade levels or program rosters.

  • Multi-Channel Payment Collection: Accept online parent credit/debit card payments via the school store or log in-person cash and check payments in the admin office.

  • Year-End Tax Reporting: Generate dedicated annual childcare tax statements for families that clearly show qualified childcare expenses and provider tax identification.

Program Onboarding and Configuration

To configure an Online School Care program at your school or campus:

  1. Log in to your Edlio Pay portal and navigate to the Online School Care (OSC) module.

  2. Student Profile Setup: Onboard students into the program via the OSC Student Setup form or import roster records using student IDs, emergency contacts, and assigned classroom rooms.

  3. Fee & Roster Groups: Navigate to Fee & Roster Groups to establish program categories (e.g., Morning Care, Afternoon Care, or Full Day Care).

  4. Create Custom Fees: Define the payment amounts, due dates, late fees, and accounting revenue codes under Fee Management.

  5. Post Fees to Rosters: Assign the created fees across active student groups so balances reflect in parent accounts.

💡 Best Practice Adoption Tip: When naming fee categories, use clear descriptive labels that include the month and service period (e.g., "October 2026 - After Care Full Time"). This prevents parent confusion during checkout and ensures your year-end reconciliation reports align cleanly with monthly bank deposits.
