How Do I Set Up and Manage User Roles?

Define who can do what in your system by creating custom user roles with tailored permissions. Set up roles, add users, and manage access, all from Settings > Permissions > Org Roles.

Creating a User Role

Full Admins control what each user can access by creating custom roles with specific permissions.

  1. From the navigation, select Settings > Permissions > Org Roles.

  2. Click Add New Role.

3. Choose how to start:

  • New Blank Role: Option to build a role's permissions from scratch.

  • Template Roles: Start with pre-configured permissions that you can adjust to give more or less access.

4. Give the role a name. Then scroll down the screen and select the permissions the role will have access to throughout the system. There are a few types of access:

  • View: See information in an area without being able to make changes.

  • Manage: Add, edit, and update settings, data, and permissions within an area.

  • Run: Generate and run reports in the respective area.

5. Click Save Info & Permissions.

Now that the role has been created, you can add users to the role.

Adding a User to a Role

Once your role is created, you can start adding users.

Adding a New User

  1. Navigate to Settings > Permissions > Org Roles.

  2. Click on the role you want to add the user to on the left side.

  3. Click Add User to Role.

4. Fill out the user's information and click Save.

The new user will receive an automatic email notification. Remind them to check their junk mail if they don't see it, and to use the Forgot Password link on the login screen to set up their password for the first time.

Adding an Existing User

If the email address you enter matches an existing user in the system, a warning will appear letting you know the account already exists. This is just a confirmation.

Click Continue to add the existing user to the role with their current account information, or Cancel to clear the field and enter a different email.

Editing or Removing a User

You can update a user's information or remove them from a role at any time.

  1. Navigate to Settings > Permissions > Org Roles.

  2. Click on the role on the left side. The list of users assigned to that role will display on the right.

  3. Click Edit to update the user's information, or Delete to remove them from the role.

4. If choosing to delete a user from a role, confirm if you wish to remove the user's access to 'this' or 'all' system roles they have been granted access.
