Admins can require participants to upload proof of age (e.g., a birth certificate) during the registration process. This requirement can be set at the season or grouping level and only applies to participants who don't already have their proof of age verified.
How to Enable the Requirement
Navigate to Programs > choose your program and season > Structure.
Click the edit icon at the season or grouping level where you want to require the upload.
Open the Required Fields tab.
Check Participant Proof of Age and click Save.
Once enabled, participants will be required to upload a file in the Proof of Age field during Step 2.2 of the registration process.
Note: The upload is only required for participants whose current Proof of Age status is set to No. Participants who already have a verified proof of age on file will not be prompted again.
File Security and Access
All uploaded proof of age files are stored in an encrypted format for security. Only Full Admins for each club system can access the files.
If the proof of age is synced to a Governing Body system for age verification, the file may also be accessible to Governing Body Club admins (depending on permissions), League admins, and Full Admins.
Viewing Uploaded Files
To view a participant's uploaded proof of age:
Navigate to the participant's profile.
Click the View File link to open the uploaded document.
Correcting or Uploading a Missing File
If a file needs to be corrected or was not uploaded during registration:
Navigate to the participant's profile.
Click Edit Person Info.
Locate the Proof of Age field. Click View File to see the current upload, or upload a new file to replace it.
Note: Full Admins can upload proof of age for any participant at any time, even if the upload was not required at the time of registration.
File Retention
All uploaded proof of age files are automatically removed from the system 180 days after the date of upload for security purposes. To avoid recollecting files each year, use the Proof of Age setting on the participant's profile to mark that age verification has been completed.
