What Is Registration Management and What Can I Do with It?

Registration Management is your central hub for viewing registrants, managing team rosters, and organizing your season structure, all in one place. Search, filter, customize, and export data as needed.

Overview

Registration Management is your go-to page for managing everything registration-related. Navigate to Programs > Participant Reg, select your program and season, then click Reg Mgmt/Rosters.

The page is divided into three areas:

  • Top — a data grid listing all of the season's registrants

  • Bottom left — the season structure with groupings and teams

  • Bottom right — the team roster view for the selected team

Tip: If no season or grouping is selected, players may not display. Make sure you've selected the correct season or grouping to view all registrants.

Searching and Filtering Registrants

Use the Search bar at the top of the data grid to quickly find a specific registrant by name. To narrow results further, click the Filter button to apply one or more filters based on any data collected during registration.

Tip: To avoid filter issues during rostering, select the season-level view to display all players before assigning them to teams.

Customizing and Exporting the Data Grid

Admins can customize which columns display in the data grid and reorder them to fit their needs.

To export or print your data, click the Print button to choose from:

  • Printer-friendly view

  • PDF

  • CSV

  • Excel

Managing Team Rosters

Assign registered players and volunteers to teams by dragging and dropping them from the data grid into the team roster area. Players who have registered but aren't assigned to a team will not appear on any roster until they're placed.

Note: The Registration Summary may show a higher count than the team roster because some registrants may be unassigned or placed in other lists (e.g., "Do Not Use/Delete"). Only assigned players appear in the roster count.

When Players Appear in the System

Player profiles appear in the admin system after families advance in the registration process, such as selecting a season or submitting their registration.

Player Status and Roster Behavior

Understanding how player statuses affect roster placement:

Inactive players:
When a player's registration status is changed to Inactive, either within the season or on the registration order, they are automatically removed from their team. A pop-up will confirm the count of players removed. If a player is dragged back onto a team, their status will need to be manually updated back to Active.

Pending Financial Aid:
Players with pending financial aid requests will not appear on rosters until the request is approved. To add them, approve the request in the Household, then assign them to a team from the participant's Order History.

Adding Players to a Roster Manually

For unregistered players:
Open the team, click the + button next to Rostered Players, and paste the player's UUID to autofill their profile details.

For registered players:
1. Open the Season Structure and select the team so it displays in the bottom-right section of the screen. Then drag & drop the player onto the team.
2. Edit their registration from the Household's Orders tab by clicking the gear/edit icon and updating the team assignment.
