Can I Create and Reuse Email Templates?

Build email templates for the messages your organization sends most often, like invitations, reminders, or updates. Use data merge fields to auto-fill names and registration details, then apply any template to a new message in just a few clicks.

Access & Creating Groups

  1. From the navigation, select Messages > Classic Broadcast > Templated Groups.

  2. Any existing groups and templates will appear on this screen.

  3. Want to keep templates organized? Create a Group to sort them, similar to a folder. Select Add Group to create a new group.


Create a New Template

1. Select Create New Template.

2. Fill in the following for your email template:

  • Template Email Name: Name of the template as it will appear in the system

  • Select Recipient Groups Based On: Choose from Invitees, Participants, Seasonal Teams, or Volunteers.

  • Message Subject: The subject line for the email

  • Data Merge Options: A list of fields that can be added to the message subject and body of your email. Click any code to copy it, then paste it into your email to auto-fill that field.

  • Message Body: Main content of your email


3. When you are done drafting your template, click Save.

Your template is saved in the group where you created it. You can edit or delete it anytime.



Using an Email Template

1. From Messages > Classic Broadcast > select Email > Create New Email Message.

  • Tip: If you chose "Participants" as the recipient group when creating your template, you can also access it when emailing groups or teams from Programs > Structure.

  • Tip: If you chose "Invitees" as the recipient group when creating your template, you can also access it when emailing groups or teams from Programs > Structure during tryout seasons.

2. Enter your recipient details, filters, and other send settings.

3. To apply a template, select Clone From Template and choose from the available templates, then select OK.

4. The template content will load into the editor. Make any edits you'd like; changes here won't affect the original template.

5. Once complete, select Send.
