How to Upload an Existing Submittal

If you have a previously completed submittal PDF, you can import it directly into Parspec — extracting the product list, preserving annotations, and stripping out old headers and footers so your package is ready to reuse or revise.

1.Start by Import

  1. Click Import Products in the Documents tab.

  2. Select the option to upload from an existing submittal package.

  3. Locate and upload your submittal PDF file.

2. Select the Product List

  1. Navigate to the Table of Contents within the uploaded submittal.

  2. Use the selection tool to highlight the product list area.

  3. Click Confirm — Parspec will extract and segment the products.

3. Map Product Columns

  1. Review the auto-mapped columns (e.g. Type, Manufacturer, Model Number).

  2. If any column was not mapped correctly, click the column header dropdown and assign the correct field.

  3. Click Confirm to finalize the mapping.

Tip: Parspec auto-maps columns where it can — only fix the ones that need adjusting.

4. Unselect Non-Essential Pages

  1. Unselect any pages that are not product datasheets — such as cover pages, the table of contents, or notes/summary pages.

  2. Scroll through and manually unselect any additional irrelevant pages.

  3. Click Confirm when done.

Note: Only pages marked as included will be carried into the import as datasheets — review carefully before confirming.

5. Manage Headers and Footers

  1. Decide whether to keep or exclude the existing headers and footers from the uploaded submittal.

  2. To exclude them:

    • Use the orange highlight tool to mark the header area at the top of the page.

    • Click and drag below the footer area so it falls outside the highlighted selection.

  3. Choose how to apply the change:

    • A. Specific page range — applies only to selected pages.

    • B. All pages — recommended for consistent formatting throughout the package.

6. Finalize the Upload and Review

  1. Click Confirm and Continue to complete the import.

  2. Your product list is now added to the Bill of Materials.

  3. Navigate to the Documents tab to review:

    • Attached datasheets

    • Transferred annotations from the original submittal

    • Headers and footers removed as configured

  4. Click on any datasheet to confirm annotations are preserved and headers/footers are removed as expected.

Tip: Once imported, your products and datasheets are fully editable in Parspec — you can add new annotations, swap datasheets, or compile a revised submittal from the same BOM.
