Pencil Spaces allows you to rename your Spaces and rename your Boards so that you can keep your virtual classrooms organized. Space and Board names are entirely up to you! Follow the system that you’re most comfortable with.

How to Organize Your Spaces
With the ability to create an infinite number of Spaces, there are endless possibilities as to how you could arrange your account. Treat a Space like a classroom, keeping a separate Space for each class or student being taught. We recommend creating a new Space for each individual class, whether that be a 1:1 or group session.
How to Name Your Spaces
If you teach individual 1:1 sessions, we recommend keeping your Spaces organized by naming them after the Space attributes, specifically “student name - lesson type, year”.
For example, if you’re tutoring Emily 1:1 for PSLE Math in 2023, you could name the Space “Emily - PSLE Math, 2023”.
If you teach group sessions, we recommend following the same process of listing the names of each student.
For example, if you teach weekly Math group tutoring sessions with Sarah, Kim, and Tommy on Mondays at 2 pm, you may name your Space “Sarah, Kim, Tommy - Math Tutoring, 2023”.
You could also take a different approach, defining the lesson type and time, more specifically “lesson type - date/time of lesson”.
For example, you could name it “Math Tutoring - Mondays at 2 pm” based on the time of your lesson.
No matter how many Spaces you create, you‘ll always be able to find each one with ease with the ability to search for Spaces by name on the Pencil Spaces Manager Page.
How to Organize Your Boards
Having access to an infinite number of Boards gives you the opportunity to come up with an infinite number of ways to organize your virtual classroom. We recommend treating Boards as a blank canvas for each lesson you teach within that Space. Create a new Board for each lesson. This gives you the opportunity to go back and easily find lesson content, no matter when it was taught.
How to Name Your Boards
We recommend you name your board after the date the lesson took place and the content covered within that lesson. Specifically, “date - lesson type”.
For example, if you taught Fractions at your lesson on 07/10/2023, you would name the Board “07/10/2023 - Fractions”.
No matter how many boards you create, you’ll always be able to find each one with ease with the ability to search for Boards by name within your Space.
